In this guide, we’ll discuss how to set up your Fireflies account to ensure the best meeting experience.
Account settings
-
Meeting auto-join settings
Auto-join settings control how Fred, the Fireflies bot, joins your meetings: automatically or via manual invite.
By default, the bot is set to join all meetings on your calendar with a web conference URL. To customize this, go to your dashboard, click Auto-join calendar meetings, and choose your preferred option.

Email Recap Settings
Email recap settings let you decide who receives meeting recap emails from Fireflies.
By default, recap emails are sent to all participants. To change this, go to your dashboard, click Email Recap Settings, and choose your preferred option.

Meeting language
The meeting language setting allows you to choose the language Fireflies uses to transcribe and summarize your meetings. Currently, we support over 69+ languages.
To select a language, go to your Fireflies dashboard, find Meeting Language on the right side, and choose your preferred language from the list.
Note:
- You can set a default meeting language for all meetings, set meeting language for each meeting, or let Fireflies auto-detect the language spoken during meetings.

Privacy Settings
Meeting privacy settings determine who can access meeting summaries and transcripts in your Fireflies Notebook.
This is especially helpful for restricting access to certain meetings, such as internal discussions or appraisal reviews.
By default, access is set to "Anyone with a link." To change this, go to Settings > Meeting Settings > Privacy Settings and select your preferred option.

Meeting video recordings
Record meeting videos by turning on the toggle against RECORD MEETING VIDEO option from the Meeting Settings. This option is exclusive for Business and Enterprise tier users.

Meeting compliance
Meeting compliance settings allow you to notify participants that the call is being recorded for note-taking and transcription purposes.
To enable this, go to Settings, scroll to Meeting Compliance, and turn the toggle switch on. You can also customize the notification message.
You can also enable the meeting chat message, so Fireflies sends the meeting compliance message in the video conference chat.
Note:
- When enabled, Fireflies will email the participants that the meeting will be recorded an hour before the meeting.
- Participants will also receive a link to opt-out. If any participant rejects Fireflies, it will not join or record the meeting.

Customization

Meeting Rules
Meeting rules let Fireflies automatically join or skip specific meetings, regardless of your default join settings.
There are two types of rules: Join and Bar rules.
- Join Rules: Fireflies will automatically join meetings that contain specific words in the meeting title or email addresses.
- Example: If you set Fireflies to join all meetings titled Marketing, it will automatically join those meetings even if your join setting is set to "Only when I invite fred@fireflies.ai."
- Bar Rules: Fireflies will skip meetings that contain specific words in the meeting title or email addresses.
- Example: If you set Fireflies to skip all meetings containing titles like 1-1, or performance review, it will not join those meetings, even if your join setting is set to "All meetings with a web conference link."

To set up a Topic Tracker, click Topic Tracker in the navigation bar and add the keywords or phrases you want Fireflies to track under the selected topic.

Set up AI Apps before a meeting, and once the meeting is processed, Fireflies will extract details in your chosen format.
You can either build an AI App from scratch or choose from 100+ prebuilt AI App templates.
