This article explains how to set Fireflies for your team.
Note: Only admins can access and change the Team Settings.
How to access Team Settings
- Log into your Fireflies account.
- Click Team from the navigation menu on the left.
- Click the settings icon on the upper right.

You will see 4 categories of settings.

Team Settings
- Team Settings allow you to configure meeting settings for your team.
1. Add new users from my company to the team
- This setting allows you to automatically add new joinees in your company to your Fireflies workspace. The default setting is OFF.
- All new users with @[companydomain] email IDs are automatically added to your team.
- Toggle it to enable or disable it.
Note: Each seat added will be billed at a prorated amount based on your billing cycle.
2. Autojoin Settings
- Autojoin Settings allow you to configure which meetings Fireflies will automatically join on behalf of your entire team.
- The default setting is Allow teammates to choose.
You’ll see 6 options to choose from:
Autojoin Settings | What does it mean? |
Allow teammates to choose | Like the admin, teammates can configure the autojoin settings for their account |
Join all that have a meeting link | Fireflies joins all calendar events with a web conference link |
Join only those that we are the owners of | Fireflies joins only calendar events you or your teammates are hosting |
Join only when we invite fred@fireflies.ai | Fireflies joins only calendar events when invited manually |
Join only internal events with our teammates | Fireflies joins only the internal meetings with your teammates |
Join only external events with clients | Fireflies joins only meetings with external participants who are not from your organization |

3. Email Settings
- Configure who receives meeting recaps.
- The default setting is Allow teammates to choose.

Everyone on the invite | Sends recaps to all meeting participants |
Only me and participants from my Fireflies team | Sends recaps only to you and your Fireflies teammates |
Only me and participants from @[companydomain] | Sends recaps to meeting participants with @[companydomain] email accounts |
Only me | Sends meeting recaps only to you |

4. Privacy Settings
- Configure which meetings your teammates can access.
Privacy Settings | What does it mean? |
Allow teammates to choose | Teammates can configure their meeting privacy settings |
Anyone with a link | Anyone with a link to your meeting will be able to view the transcript and play the recording |
Only Participants & Teammates | Only meeting participants or teammates can access your meeting |
Only Participants | Only meeting participants can access your meeting |
Only Teammates | Only teammates can access your meeting |
Only You | Only you can access your meeting link |

5. AI Apps Privacy settings
- This setting allows you to choose who can view AI Apps’ output in meeting summaries.
Privacy Settings | What does it mean? |
Allow teammates to choose | Teammates can configure who can view their AI Apps outputs in meeting summaries |
Public | Anyone with a link to your meeting can see the AI Apps’ output in meeting summaries |
Only Participants & Teammates | Only meeting participants or teammates can see the AI Apps’ output in meeting summaries |
Only Participants | Only meeting participants can see the AI Apps’ output in meeting summaries |
Only Teammates | Only teammates can see the AI Apps’ output in meeting summaries |
Only You | Only you can see the AI Apps’ output in meeting summaries |

6. Data retention setting
Note: This feature is available only to users in the Enterprise plan.
- The auto-delete meeting feature allows you to automatically delete past meetings after a specified period. As an admin, you can control this setting for your entire workspace.
- Click the dropdown list. By default, you will see the value set to Allow teammates to choose. This means by default, teammates can choose their auto-delete meeting setting.
- You can leave it as it is, or you can select any of these values for your entire workspace.
Note: Once you select any of these values, teammates won't be able to configure the auto-delete meeting feature.
7. Meeting Recordings
- Enable or disable video recording for the entire team
You’ll see 3 options:
- Allow teammates to choose: Teammates can choose if they want to record video during meetings
- Enable for all teammates: The meeting video is recorded for all your teammates’ meetings.
- Disable all teammates: Video is not recorded for any of your teammates' meetings.

8. AI App Settings
- Allow teammates to customize their meeting summaries using AI apps.

You’ll see 2 options:
- Allow only admins to create AI Apps: Teammates can’t create or customize AI Apps. They can only customize their default Super Summary apps.
- Allow all users to create AI Apps: Teammates can create and customize AI Apps.
- Only paid plan users can customize existing AI Apps or create new custom AI Apps.
- Customizing AI Apps requires AI credits, which need to be purchased as a separate add-on.

AI credit consumption depends on the AI model used:
- Magic Soundbites App: Basic (1 credit), Advanced (3 credits), Advanced Large (5 credits)
- Custom AI Apps: Basic (1 credit), Advanced (3 credits), Advanced Large (5 credits

9. Integrations settings
- Let teammates connect 40+ integrations like Slack, HubSpot, Freshsales, ClickUp, and more with Fireflies.

You’ll have two options:
- Allow teammates to connect integrations: Teammates can connect integrations to their individual accounts.
- Only allow admins to create integrations: Only admins can create integrations, centralizing control and management of all integrations.
Advanced Settings
1. Allow teammates to invite users
- This setting allows teammates to invite other users to your workspace.
- Toggle ALLOW TEAMMATES TO INVITE USERS to enable or disable it.

2. Notification Settings
- Fireflies sends a recording notification email to participants 1 hour before each meeting.

You’ll see two options:
- Enable for all teammates: The recording notification email is sent to all participants 1 hour before a meeting whenever any teammate invites Fireflies to record it.
- Allow teammates to choose: Teammates can decide whether to send the recording notification email before a meeting.

3. Security Settings
- Configure Single sign-on (SSO) to enable your teammates to log in to Fireflies through your SSO provider.
- Click Configure and follow the instructions to set up SSO.
Team Integration
- Team integrations allow you to connect apps your team uses.
1. Integrate HubSpot for Teams
- Toggle Configure to integrate HubSpot, OneDrive, Salesforce, Zoom for the entire team.

Rules
- Set up rules to auto-share or auto-add meetings to designated channels or user groups.
