Understanding Fireflies Billing: Terms, Plans & AI Credits

This guide outlines how billing works across your Fireflies account - covering plans and seats, AI credits and auto-upgrades, downgrades, and cancellations. Use it as a reference for understanding what you're billed for, when, and why.
1. Plans & Seats
Fireflies is billed per seat. A seat is created the moment a teammate is added to your workspace.
Every admin or member counts as one billable seat.
Removing a teammate decreases your seat count going forward; it doesn't refund anything for the current cycle.

2. Upgrades & Downgrades
Upgrading your plan takes effect immediately; you're billed the prorated difference for the remainder of your current cycle.
Downgrading your plan
Takes effect on your next billing cycle - you keep your current tier's features until then.
Any unused, prorated balance from your higher tier is automatically converted into account credits, applied to your next invoice.
Enterprise can downgrade to Business or Pro; Business can downgrade to Pro only.
Only the Billing Admin can change plans.

3. AI Credits & Auto-Upgrades
AI Credits power Fireflies' advanced AI features: AI Skills, Personal Assistant, Voice Agents, Sales Assist, Slack Assistant, Autofill CRM, AskFred on Live Assist, Magic Soundbites, and custom summary sections. Standard transcription, summaries, and recap emails are never charged in credits.
All AI features use dynamic pricing - you're charged per query, and the number of credits used depends on the complexity of the request. Simpler requests use fewer credits; more complex ones use more.

How do you get AI credits
Every Fireflies account includes one-time credits on sign-up, based on your plan:

Your credits are shared across your whole team and don't increase as you add teammates.
If you upgrade your plan, your new plan's credits replace your old ones — they don't stack. For example, upgrading from Free to Business gives you 30 credits, not 50.
🎁 You'll also get 100 bonus credits when you create your first Voice Agent, added to your team's pool and valid for 14 days.
🎁 You can try a 7-day AI credits trial to access every AI feature before committing to a paid subscription.
If you're a Free user
When you run out of credits, you'll see a paywall and be prompted to upgrade - there's no auto-charge involved at this stage.
If you're on a paid plan
By starting an AI credits trial, claiming free credits, or continuing on AI credits, you're agreeing to these billing terms - here's exactly what that means depending on how you got there:
If you start an AI credits free trial: After 7 days, your trial converts to $5/month (or whichever plan you selected at the start of the trial). If your credits run out, you'll be automatically upgraded to the next higher tier and may be eligible for further increases with continued usage. Any upgrade applies to future billing periods unless you downgrade.
If you exhaust your free AI credits: After your free credits run out or expire, you'll see a paywall to upgrade your AI credits plan.
If you're an existing AI credits subscriber: When your credits run out, you're auto-upgraded to a higher tier based on your current plan, and your plan may increase with continued usage. Any upgrade applies to future billing periods unless you downgrade or disable it in Settings.
The 1,000 Free AI Credits offer
If you're an existing AI credits subscriber, you may see a pop-up offering 1,000 free AI credits. Here's how it works:
Claim your credits and they're added to your pool - your existing subscription continues as-is.
If you decline, you'll see a second screen, Review Your AI Credits Plan, confirming your current plan. Staying on it costs you nothing extra - you're just confirming you want to keep what you already have.
Choose Continue to keep your subscription and auto-upgrade settings unchanged.
Choose Decline to cancel your AI credits subscription.
This screen exists so you have clear, explicit visibility into your AI credits subscription and auto-upgrade settings - nothing changes on your account without your confirmation.
Managing your credits
Your credits are pooled at the team level — everyone in your workspace draws from the same balance, regardless of seat count. Credits included with your plan don't expire; credits purchased through an AI credits subscription don't carry over if unused at the end of the cycle. AI credits are non-refundable.
You can pause auto-upgrades, edit, or cancel your AI credits subscription anytime from Settings → Billing, and monitor usage per team member from your account settings.

4. Cancellations
Cancelling your Fireflies plan downgrades you to Free at the end of your current billing cycle. You keep paid features and access to your data until then.
Cancelling your AI Credits subscription is separate from your main plan and also takes effect at the end of the current cycle - you keep remaining credits until then and won't be charged again.

5. Refunds
Refund eligibility depends on when the charge occurred, how much of the product was used, and our refund policy. AI Credits specifically are non-refundable. If you believe a charge was made in error, contact Fireflies Support for review.

6. Invoicing & Payment
Invoices are available under Settings → Billing → Billing History. Payments are processed via Stripe using a credit or debit card. You can update billing details, add/remove payment methods, and route invoices to a different email at any time.
