How to Integrate Google Tasks with Fireflies

Last updated: November 24, 2025

Connecting Fireflies to Google Tasks is the simplest way to turn meeting discussions into a clean list of actionable items. Youโ€™ll ensure every task is captured, assigned, and managed right in your Google Workspace.

๐Ÿ” What Does the Integration Do?

Integrating Google Tasks helps ensure action items from your meetings never slip through the cracks. Think of it as an automatic bridge. Fireflies will automatically:

  • Create and send tasks directly to a selected list in Google Tasks during or immediately after a meeting.

  • Use Fireflies to identify action items (like "John will send the report") and log them directly into your Google Tasks account.

๐Ÿ”‘ Prerequisites

Before we start, you'll just need a couple of things:

  • Fireflies Account: An active Fireflies account with integration permissions enabled.

  • Google Tasks Access: A Google account with access to Google Tasks.

  • Permissions to authorize Fireflies to access your Google Tasks lists. (Don't worry, we'll walk you through this.)

๐Ÿ”— Connect Google Tasks to Fireflies

You'll start the connection process right from your Fireflies dashboard.

Step 1: Go to the Fireflies dashboard and select Integrations in the left-hand menu. Then, search for Google Tasks and click on the app tile, and click the Connect button. Fireflies will take you to Googleโ€™s sign-in page.

Step 2: Enter your credentials and sign in to the Google account linked to your Google Tasks. Click Allow to give Fireflies the green light to connect. Youโ€™ll be redirected back to the Fireflies Integration page to set up your preferences.

โš™ Set Up Default Configuration

Now itโ€™s time to tell Fireflies exactly where to send your tasks and how to filter them.

In the Default Configuration side panel, make these important selections:

Step 1: Choose the specific list in Google Tasks where you want your new tasks to land (e.g., Meeting Follow-ups or Action Items).

Step 2: Enable/Disable AI Assisted tasks. This setting is super handy! It dictates which tasks get created in Google Tasks:

  • When enabled, Fireflies filters and only creates tasks explicitly assigned to you during the meeting.

  • If disabled, Fireflies creates all action items identified in the discussion, no matter who they were assigned to.

Step 3 (Optional): You can also click Create Sample Task to test your connection and ensure the task shows up in your Google Tasks account successfully!

๐Ÿงฉ Additional Options

By default, Fireflies sends data from every meeting to Google Tasks. While this ensures no meeting goes unnoticed, it can clutter your base. Integration Rules allow you to filter which meetings send data, so only the important meetings make it into your Google Tasks base.

Integration Rules are available on Business or higher plans.

Learn more about our different pricing plans and how to get started.

๐Ÿ—‚ All Meetings

Capture tasks from every meeting โ€” client calls, team syncs, check-ins โ€” with no filters applied.

๐Ÿ“ Meeting Title

Only create tasks if the meeting title matches rules you set (Contains, Starts with, Equals, Doesnโ€™t Contain). Example: Only generate tasks for Client Review or Interview meetings.

Add multiple keywords separated by commas (e.g., Interview, Client Review, Demo).

๐Ÿ‘ค Meeting Host

Filter tasks by the meetingโ€™s host.

  • Equals โ†’ Only tasks from meetings hosted by john@example.com.

  • Not Equal โ†’ Tasks from all meetings except those hosted by John.

๐Ÿ‘ฅ Meeting Participants

Filter tasks based on who attended.

๐ŸŽฆ Meeting Type

Filter by meeting type.

Example: Equals External โ†’ Only external calls will be stored in your Google Tasks base.

๐Ÿ”€ Apply Multiple Filters

Combine filters for precision.

  • Example: Title contains Interview AND host is john@example.com.

  • Rules use AND (all conditions must match) or OR (any condition matches).

๐Ÿ’พ Save Your Configuration

After setting up the Default Configuration side panel, select Save.

You will see a pop-up confirming that the configuration was successfully added. Youโ€™re now all set!

๐Ÿ›  Manage Configuration

Over time, you may need to adjust your Google Tasks integration โ€” maybe to keep configuration names clear, update a list, or remove ones you no longer use. Fireflies gives you a few simple options:

  • โœ Edit Configuration Name โ†’ Give each Google Tasks configuration a clear, descriptive name so itโ€™s easy to recognize (especially helpful if youโ€™ve connected multiple lists). Just click the configuration name (e.g., Default Configuration), type the new name (e.g., Client Meetings), and click outside the field to save.

Clear names are especially helpful when youโ€™re managing more than one configuration.

  • โš™ Edit Configuration Settings โ†’ Need to adjust where your meeting data goes or how it's organized? Click the vertical ellipsis (โ‹ฎ) next to a configuration, select Edit, update the list, or modify any other settings (e.g., which meetings these rules apply), and click Update to save.

manageconfig2.gif
  • ๐Ÿ—‘ Delete Configuration โ†’ If a configuration is no longer useful, you can safely delete it. Click the vertical ellipsis (โ‹ฎ) next to the configuration, select Delete, and confirm.

Deleting a configuration means Fireflies will no longer send meeting data to that Google Tasks list. Make sure itโ€™s no longer needed before you remove it.

  • ๐Ÿ”˜ Enable or Disable a Configuration โ†’ Use the toggle switch next to a configuration to quickly control it. Toggle ON to deliver meeting data to the linked list; toggle OFF to pause without deleting.

This is handy if youโ€™ve connected multiple lists and only want one active at a time. Fireflies remembers your settings when you turn configurations back on.

๐Ÿ“ค How Data Appears in Google Tasks

When Fireflies processes your meeting and detects action items, it automatically creates tasks in the Google Task List you selected during setup. Youโ€™ll find these tasks instantly logged, keeping your to-do list organized and ready for action.

โŒ Disconnect Integration

If you no longer need Fireflies connected to Google Tasks โ€” for example, when cleaning up old integrations or moving to a new database โ€” you can disconnect it with a single click.

Click the Disconnect button to remove the Google Tasks integration. This action immediately ends the connection, and Fireflies will no longer send meeting data to Google Tasks.

Once disconnected, Fireflies will stop sending data to Google Tasks. You can always reconnect later if needed.

Q1: Can I push tasks to different Google lists?

Right now, the integration allows you to select just one default List in Google Tasks where all your action items will be sent.
