How to Invite Teammates from Your Microsoft Teams Workspace

Easily bring your Microsoft Teams teammates into Fireflies so everyone’s meeting notes, transcripts, and action items stay organized in one shared workspace.

Connecting your Teams account makes it simple to find and invite teammates directly — no need to enter email addresses manually.

🔑 Prerequisites

  • You’re logged in to your Fireflies account.

  • You’re signed in to your Microsoft Teams workspace.

  • Each teammate added uses one workspace seat and will be billed according to your plan.

🚀 Invite Teammates from Your Microsoft Teams Workspace

Step 1: Log in to your Fireflies account and click Team in the left sidebar.

Step 2: You’ll be redirected to the Members and Groups settings. By default, the Teammates tab is selected.

Step 3: Click on the Invite Teammate button.

Step 4: Click the dropdown arrow under Invite teammates from other workspaces, then select Microsoft Teams from the list.

Step 5: After clicking the Microsoft Teams icon, you’ll be redirected to the Teams login page. Sign in to your Microsoft Teams workspace and click Accept to authorize Fireflies to your workspace.

If you don’t have a Teams account or workspace yet, create one here before connecting it with Fireflies.

Step 6: Go to the Invite Teammates window again, click the dropdown under Invite teammates from other workspaces, then click Import next to Microsoft Teams to load your teammates.

Step 7: You’ll see a modal window showing your Microsoft Teams workspace teammates, where you can select individuals or choose Select All before sending invites.

If the list doesn’t appear right away, refresh the page and click the Microsoft Teams icon again after authorization.

Step 5. Click the Send Invite button to invite your selected Microsoft Teams teammates — they’ll receive an email from Fireflies to join your workspace.

👥 How Teammates Join Your Fireflies Workspace

After you send invites via Microsoft Teams, your teammates will receive an email from Fred from Fireflies (fred@fireflies.ai) with the subject line “[Your Name] has invited you to their team’s workspace on Fireflies.ai.”

To join the workspace:

  1. Open the invitation email sent by Fireflies. If it’s not visible, check the Spam or Promotions folder.

  2. Click the Join Now button in the email.

  3. On the confirmation page, click Accept Invitation to join your Fireflies workspace.

Once accepted, they’ll be instantly added to your Microsoft Teams workspace and can start accessing shared meetings, notes, and summaries in Fireflies.

🧩 Troubleshooting & FAQs

1. I don’t see my Teams teammates after connecting.

Try refreshing the page and clicking the Microsoft Teams icon again in the Invite Teammates window. Make sure you’ve authorized Fireflies to the correct Teams workspace.

2. The Microsoft Teams authorization failed.

Disconnect and reconnect Microsoft Teams under Settings → Integrations → Microsoft Teams. Ensure you’re signed in to the right Teams account before reauthorizing.

3. My teammates didn’t get the invite email.

Ask them to check their Spam or Promotions folder for an email from Fred from Fireflies (fred@fireflies.ai). If still missing, resend the invite from the Team tab.

4. I don’t have a Microsoft Teams workspace.

You’ll need a Teams workspace before connecting to Fireflies. You can create one here.
