How to Integrate Flowlu with Fireflies

If you use Flowlu to manage projects, contacts and opportunities the Flowlu + Fireflies integration helps keep your meeting notes and follow-up work organized in one place. Send meeting notes to Flowlu CRM, create contacts from meeting participants and turn action items into tasks.

๐Ÿ” What Does the Flowlu Integration Do?

Connect Fireflies to Flowlu to keep contacts, meeting notes and follow-up tasks up to date automatically, so you can:

  • Send meeting notes to Flowlu CRM.

  • Create Flowlu contacts automatically from new meeting participants.

  • Log meeting notes on existing contacts and opportunities.

  • Create project tasks from meeting action items.

  • Send only your own action items to Flowlu.

๐Ÿ”‘ Prerequisites

Before connecting Flowlu with Fireflies, make sure you have the following ready:

  • Active Flowlu account โ†’ You need access to your Flowlu workspace.

  • Fireflies account โ†’ Make sure you're logged in to your Fireflies account.

  • Flowlu portal URL โ†’ You'll need your Flowlu portal URL, such as yourcompany.flowlu.com.

  • Flowlu API key โ†’ You'll generate an API key from your Flowlu account. Don't worry, we'll show you how to get the API key.

Once these are ready, you can connect Flowlu to Fireflies.

๐Ÿ” Get the Flowlu API Key

To connect Flowlu with Fireflies, youโ€™ll need to create an API key in Flowlu.

1. Log in to Flowlu, click your profile picture, and select Portal Settings.

2. Under Portal Settings, select For developers.

3. Open the API tab and click Add.

4. Enter the following details:

  • Name: Enter a name for the API key, such as fireflies.

  • Select Applications: Select System, Tasks, CRM, and Projects.

5. Click Save and copy the generated API key. Youโ€™ll need it when connecting Flowlu to Fireflies.

Important: Save your API key in a secure place. You wonโ€™t be able to view it again after creating it. Anyone with your API key can make requests on your behalf. If you lose it, youโ€™ll need to generate a new one.

๐Ÿ”Ž Find Your Flowlu Portal URL

You'll also need your Flowlu Portal URL when connecting Flowlu to Fireflies.

1. Open your Flowlu account and check the URL in your browser.

2. Copy your Flowlu portal URL from the address bar.

For example, if your Flowlu URL is:

https://yourcompany.flowlu.com

your Flowlu Portal URL is:

yourcompany.flowlu.com

Once you have your API Key and Flowlu Portal URL, you're ready to connect Flowlu to Fireflies.

๐Ÿ”— Connect Flowlu to Fireflies

Step 1: Log in to your Fireflies account. Navigate to the Integrations page, and search for Flowlu. Click on it to get started.

Step 2: Click Connect.

Step 3: Enter the required details:

  • Flowlu portal URL โ†’ Enter your Flowlu Portal URL, for example, yourcompany.flowlu.com.

  • API Key โ†’ Paste the API key you generated earlier from your Flowlu account.

Step 4: Click Authorize to complete the connection.

Once authorized, you'll be redirected back to Fireflies to configure your Flowlu integration.

โš™ Setting Up Your Configuration

Step 1: Set up tasks

Choose a Flowlu project where Fireflies should create tasks from your meeting action items.

  • When a project is selected Fireflies adds only action items assigned to you as tasks in the selected Flowlu project.

  • When skipped Fireflies won't create tasks from your meeting action items.

Click Continue to proceed.

Step 2: CRM

Choose how Fireflies should handle meeting participants, contacts and organizations in Flowlu CRM.

  • Create contacts from new meeting participants โ†’ When enabled, Fireflies adds meeting participants as Flowlu contacts if they don't already exist in Flowlu CRM.

  • Log meeting notes on existing contacts โ†’ When enabled, Fireflies adds meeting notes to contacts that already exist in Flowlu. Contacts created by Fireflies won't receive these notes.

  • Log meeting notes on organizations โ†’ When enabled, Fireflies adds meeting notes to organizations linked to existing contacts. Each organization receives the notes once.

All three options are enabled by default. Choose the options you want, then click Continue.

Step 3: Test Connection

Before completing the setup, you can test your Flowlu connection by creating a sample meeting.

  • Click Click to create sample meeting โ†’ Fireflies will send a sample meeting to Flowlu based on your selected configuration.

  • Once the sample meeting is created, click Continue to proceed.

๐Ÿงฉ Additional Options โ€“ Integration Rules

By default, Fireflies sends meeting notes to Flowlu for every meeting. If you want more control, you can use Integration Rules to decide which meetings get added.

Integration Rules are available on Business or higher plans.

Send notes from every meeting โ€” calls, check-ins, or demos โ€” with no filters applied.

๐Ÿ“ Meeting Title
Only send notes when the meeting title matches specific rules (Contains, Starts with, Equals, Doesnโ€™t Contain).
Example: โ€œDemoโ€, โ€œClient Callโ€

๐Ÿ‘ค Meeting Host
Filter meetings based on who hosted them.

  • Equals โ†’ Only meetings hosted by a specific person

  • Not Equal โ†’ Exclude meetings hosted by a specific person

๐Ÿ‘ฅ Meeting Participants
Control which meetings are included based on attendees.

  • Contains โ†’ Include meetings with specific participants

  • Doesnโ€™t Contain โ†’ Exclude meetings with certain participants

Filter by meeting type.
Example: External โ†’ Only external meetings

๐Ÿ”€ Apply Multiple Filters
Combine rules for more precise control.
Example: Title contains โ€œDemoโ€ AND host is sales@company.com

You can view all the filters currently applied to your configuration. Fireflies will only send notes to Flowlu for meetings that match all the conditions youโ€™ve set.

โœ… Example applied: Title contains Interview, host = John, participant = Mary, type = External.

๐Ÿ’พ Save Your Configuration

Click Save to activate the integration โ€” a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations โ€” for example, one for internal meetings and another for client calls.

๐Ÿ‘ฅ Team Integration Settings

Workspace admins can control how the Flowlu integration is used across their team. The available options depend on your plan and workspace role.

Click the vertical ellipsis (โ‹ฎ) next to your Flowlu and select Team Permissions from the dropdown list.

Business and Enterprise

If you are a Workspace Admin on a Business or Enterprise plan, you can manage granular Integration Permissions for the integration, including who can access and connect it.

Free and Pro

Free and Pro users do not have access to the full Integration Permissions dashboard. Instead, Team Permissions opens a modal with the available workspace-level settings.

  • Apply to entire workspace โ†’ Toggle this ON to apply the Flowlu integration across your Fireflies workspace. All team meetings accessible by the team admin will have notes sent to Flowlu, keeping everything centralized.

    ๐Ÿ“ŒMeetings that are set to private in a teammateโ€™s Privacy Settings wonโ€™t be pushed to Flowlu unless youโ€™re a Super Admin who can access meetings regardless of privacy settings.

  • Restrict non-admin usage โ†’ Toggle this ON to prevent non-admin members from creating their own Flowlu configurations. This helps maintain consistent data practices and avoids accidental CRM clutter.

After adjusting the toggles to fit your teamโ€™s workflow, click Save to apply the changes.

Note: Business and Enterprise Workspace Admins have access to granular integration permissions, while Free and Pro workspaces have more limited workspace-level controls.

๐Ÿ›  Manage Configuration

Over time, you may need to update your Flowlu integration โ€” for example, to rename a configuration, update rules, or remove configurations you no longer use. Fireflies provides a few simple options to manage this.

  • โœ Edit Configuration Name โ†’ Give each Flowlu configuration a clear, descriptive name so itโ€™s easy to recognize. Click the configuration name (for example, Default Configuration), type a new name (such as Weekly Meeting Notes), and click outside the field to save.

  • โš™ Edit Configuration Settings โ†’ Need to update your integration rules or settings? Click the vertical ellipsis (โ‹ฎ) next to a configuration, select Edit, update the settings, and click Update to save your changes.

  • ๐Ÿ”˜ Enable or Disable a Configuration โ†’ Use the toggle next to a configuration to control it quickly. Toggle ON to send meeting notes to Flowlu; toggle OFF to pause the integration without deleting it.

This is helpful if you have multiple configurations and only want one active at a time.

  • ๐Ÿ—‘ Delete Configuration โ†’ If a configuration is no longer needed (for example, you no longer want notes added to Flowlu), you can delete it. Click the vertical ellipsis (โ‹ฎ) next to the configuration, select Delete, and confirm.

Deleting a configuration stops Fireflies from sending meeting notes to Flowlu, so make sure itโ€™s no longer needed before removing it.

๐Ÿ“ค How Meeting Notes Appear in Flowlu

Once the integration is set up, Fireflies adds meeting notes to the relevant Flowlu CRM records based on your configuration.

  • Contacts โ†’ Meeting notes appear on existing contacts.

  • Organizations โ†’ Meeting notes appear on the organizations linked to those contacts.

  • Opportunities โ†’ Meeting notes can be mapped to existing opportunities.

โช Push Past Meetings to Flowlu

Sometimes, the meetings you want in Flowlu happened before you connected the integration. Whether you enabled the integration later or simply want to add older meeting notes to your CRM, Push Past Meetings lets you choose a date range and meeting type, then send those meetings to Flowlu in just a few clicks.

Note: Make sure you've connected Flowlu and created at least one push configuration before using Push Past Meetings. If you haven't, complete the Setting Up Your Configuration section above first.

Follow the steps below to push past meetings to Flowlu.

  1. From the Flowlu integration page, click Push past meetings.

  2. A dialog box will appear. Choose the following:

  • Date range โ†’ Select the meetings you want to send by choosing Last 7, 14, 30, 60, or 90 days, or specify a custom date range.

  • Meetings to push โ†’ Choose whether to push Meetings I attended, Meetings I organized or joined, or All my meetings.

  1. Click Push. Fireflies will send the matching meeting notes to Flowlu using your existing configuration settings.

Meetings recorded after you connect Flowlu are sent automatically. Push Past Meetings is only needed for meetings that happened before the integration was connected.

This is useful when you want custom AI-generated content, such as project updates, customer insights, follow-up emails, call analyses, or action item reports, to be sent to Flowlu automatically.

โœ… Manually Send Meeting Notes to Flowlu

Prefer sending only certain meetings to Flowlu? Fireflies also allows you to manually send meeting notes directly from the Notepad.

This is helpful when you want to review or edit notes first and then send only the relevant conversations to specific contacts, companies, or records in Flowlu - without relying on automation rules or integration configurations.

โŒ Disconnect Integration

If you no longer need Fireflies connected to Flowlu, you can disconnect the integration at any time.

Click Disconnect to remove the integration. Fireflies will stop sending meeting notes to people and companies in Flowlu.

Once disconnected, Fireflies will stop adding meeting notes to Flowlu. You can always reconnect later if needed.
