This guide will walk you through the steps to configure Fireflies.ai to join only specific meetings based on your preferences.
There are two ways to set Fireflies to join meetings you want.

Configure join settings
Join settings on the dashboard ensures FF joins only meetings you want. This setting will apply to all your meetings.

a. Enable auto-join for specific meetings
- By default, Fireflies is set to auto join all meetings.
- You can change this by choosing one of your preferred options from the dropdown, and Fireflies will join your meetings accordingly:
Only meeting that I own |
Fireflies will only join those meetings where you are the host. |
Only meetings with @domain participants |
Fireflies will join if the meeting participants have email addresses with the specified domain. Example: Internal meetings with colleagues (e.g., @yourcompany.com). |
Only meeting with non-@domain participants |
Fireflies will join if the meeting participants do not have email addresses with the specified domain. Example: External meetings with clients or vendors. |
b. Manually invite Fireflies to meetings
- You can set join settings to Only when I invite Fred@fireflies.ai from the Auto join calendar meetings dropdown.
Fireflies will join the meeting only when you manually invite it by adding fred@fireflies.ai to the meeting invitation.

C. Add to live meetings
- If you want to invite Fireflies to a live or ad-hoc meeting, you can do it with the Add to live meeting feature.

d. Set Fireflies to join specific upcoming meetings
- The Upcoming Meetings module on the Fireflies homepage shows meetings scheduled on your calendar for the next 2 days.

Individually toggle on the meetings you want Fireflies to join and record.

2. Meeting Rules
Meeting rules override the join settings. These rules tell Fireflies to join or skip specific meetings irrespective of the join settings.
a. Set Bar Rules
Bar Rules specify conditions under which Fireflies will not join your meetings. You can configure Bar Rules to skip meetings based on the following criteria:
Meeting titles: Fred will not join meetings if the meeting title contains specific keywords or phrases. For example, if you input "personal" or "confidential" as keywords, any meeting with these words in the title will be excluded from auto-join.
Email addresses or domains: Fred will also skip meetings if participants' email addresses or domains match those specified in the Bar Rules. For instance, you can add specific email addresses like "executive@company.com" or domains like "@partner.com" to ensure Fred does not join meetings involving these contacts.

How to access Bar Rules
- Go to the Fireflies web app and click Settings.
- Find Meeting Rules.
- Under the Bar Rules text box, input keywords in titles and email addresses that you want Fireflies to ignore.
b. Set Join Rules
Join Rules define conditions under which Fireflies will automatically join your meetings, even overriding general auto-join settings. You can configure Join Rules based on the following criteria:
Meeting titles: Fred will join meetings if the meeting title contains specific keywords or phrases. For example, adding "project update" or "team sync" to your join rules will ensure that Fireflies joins any meeting with these phrases in the title.
Email addresses or domains: Fireflies will also join meetings if participants' email addresses or domains match those specified in the Join Rules. For example, you can add specific email addresses like "manager@company.com" or domains like "@client.com" to ensure Fireflies joins meetings involving these contacts.

- Go to the Fireflies web app and click Settings.
- Find Join Rules.
- Under the Join Rules text box, input keywords in titles and email addresses that you want Fireflies to join.
