In this guide, we’ll answer the FAQs related to the Upcoming Meetings module.
What is the Upcoming Meetings module?
Upcoming Meeting module is where you can see all the meetings scheduled in your calendar for the next two days.
It integrates with your calendar to display a list of scheduled meetings, allowing you to easily configure which meetings you want Fireflies to join and record.
How to access the Upcoming Meetings module?
- You can access the Upcoming Meetings module on the Fireflies web app’s homepage.
- The module displays your upcoming meetings from your connected calendar (Google or Outlook).
Why meetings get toggled ON or OFF?
Your upcoming meetings are displayed with a toggle that shows whether Fireflies.ai will automatically join the meeting or not. This toggle is based on your auto-join setting:
If you've set auto-join ON, all your meetings will have a toggle ON, indicating that Fireflies will join them.
If you've set the auto-join ON only for meetings you own, then only the meetings you own, will have the toggle ON.
If you've disabled auto-join, all upcoming meetings will have the toggle OFF.
Note: Meetings scheduled more than two days in advance will not show up in the Upcoming Meetings module.
How to enable or disable Fred to join upcoming meetings?
From the Upcoming Meetings module, you can enable or disable Fireflies for individual meetings. Here are the options:
1. Join All
- Click Join All.
- All your upcoming meetings listed in the Upcoming Meetings module will have the toggle turned ON.
- Use this option if you've disabled the auto-join settings but want Fireflies to join all your meetings.
2. Enable Fireflies toggle for individual meetings
- If you have disabled the auto-join setting but want Fireflies to automatically join specific meetings, you can enable the toggle next to the desired meetings.
- The toggle will turn green, indicating that Fireflies will join and record that meeting.
- To confirm, hover over the meeting entry, and a pop-up window will appear with the message “Fireflies will join and record this meeting”.
3. Disable Fireflies from joining meetings
- If you've set the auto-join setting to ON, but you don't want Fireflies to join specific meetings, you can disable the toggle for those meetings.
- Go to the desired meeting in the Upcoming Meetings module and toggle it OFF.
- The toggle will turn gray, indicating that Fireflies will not join that meeting.
Why are meetings not visible under the Upcoming Meetings module?
Fireflies can detect and show upcoming meetings from the Google or Outlook calendar connected to your Fireflies account.
However, if you schedule a meeting on other platforms like Microsoft Teams, Zoom, WebEx, etc., and do not add the meeting link to your Google or Outlook calendar, Fireflies will not be able to detect and show those meetings.
To ensure meetings scheduled on other platforms appear in the Upcoming Meetings module, you need to add the meeting link to your Google or Outlook calendar that is synced with your Fireflies account.
Fireflies currently supports 8 video conferencing platforms.
By understanding and utilizing these settings, you can effectively manage which meetings Fred joins, ensuring that important discussions are captured while avoiding unnecessary recordings. For more detailed customization, adjust your preferences in the Fireflies.ai settings.
