How to Integrate Odoo with Fireflies

If you use Odoo to manage your contacts, documents and projects, connect it with Fireflies and keep every meeting detail and follow-up in one place. Fireflies captures the notes, updates your contacts and turns action items into project tasks, so nothing slips through after a call.

๐Ÿ” What Does the Odoo Integration Do?

Connect Fireflies to Odoo to keep contacts, notes and follow-up tasks up to date automatically, so you can:

  • Save meeting notes as documents in Odoo Documents.

  • Create Odoo contacts automatically from new meeting participants.

  • Log meeting notes on your existing Odoo contacts.

  • Create project tasks from meeting action items in the Odoo project you choose.

๐Ÿ”‘ Prerequisites

Before connecting Odoo with Fireflies, make sure you have the following ready:

  • Active Odoo account โ†’ You need access to your Odoo workspace.

  • Fireflies account โ†’ Make sure you're logged in to your Fireflies account.

  • Odoo instance URL โ†’ You'll need your Odoo instance URL, such as mycompany.odoo.com.

  • Odoo API key โ†’ You'll generate an API key from your Odoo account. Don't worry, we'll show you how to get the API key.

  • Odoo 19 or newer โ†’ The integration requires Odoo 19 or later with external API access enabled.

๐Ÿ” Get the Odoo API Key

To connect Odoo with Fireflies, youโ€™ll need to generate an API key from your Odoo account.

1. Log in to Odoo, click your profile icon, and select My Preferences.

2. Open the Security tab and, under API Keys, click Create API Key.

3. Enter your Odoo account password and click Confirm Password to verify your identity.

3. Enter a Key Name, such as fireflies, select RPC or MCP under Scope, choose an expiration period, and click Create Key.

4. Copy the generated API key. This API key will only be shown once. Copy it and store it securely.

Youโ€™ll need it when connecting Odoo to Fireflies.

๐Ÿ”Ž Find Your Odoo Instance URL

You'll also need your Odoo Instance URL when connecting Odoo to Fireflies.

1. Open your Odoo account and check the URL in your browser.

2. Copy your Odoo instance URL from the address bar.

For example, if your Odoo URL is:

https://mycompany.odoo.com

your Odoo Instance URL is:

mycompany.odoo.com

Once you have your API Key and Odoo Instance URL, you're ready to connect Odoo to Fireflies.

๐Ÿ”— Connect Odoo to Fireflies

Step 1: Log in to your Fireflies account. Navigate to the Integrations page, and search for Odoo. Click on it to get started.

Step 2: Click Connect.

Step 3: Enter the required details:

  • Odoo Instance URL โ†’ Enter your Odoo instance URL, for example, https://mycompany.odoo.com.

  • API Key โ†’ Paste the API key you generated earlier from your Odoo account.

Step 4: Click Authorize to complete the connection.

Once authorized, you'll be redirected back to Fireflies to configure your Odoo integration.

โš™ Setting Up Your Configuration

Step 1: Create documents from meeting notes

Choose whether Fireflies should save your meeting notes as documents in Odoo Documents.

  • When enabled: Fireflies saves each meeting's notes as a document in Odoo Documents.

  • When disabled: Fireflies won't create documents from your meeting notes.

The option is enabled by default. Click Continue to proceed.

Step 2: Documents Folder

Choose the Odoo Documents folder where Fireflies should save your meeting notes.

  • Use the Search field to find and select the folder where you want the meeting notes stored.

  • If you don't want to select a specific folder, click Skip.

Once you've made your selection, continue to the next step.

Step 3: CRM

Choose how Fireflies should manage contacts and meeting notes in Odoo CRM.

  • Create contacts from new meeting participants โ†’ When enabled, Fireflies adds meeting participants to Odoo Contacts if they don't already exist.

  • Log meeting notes on existing contacts โ†’ When enabled, Fireflies adds meeting notes to the chatter of contacts that already exist in Odoo.

Both options are enabled by default. Choose the options you want, then click Continue.

Step 4: Tasks

Choose an Odoo project where Fireflies should create tasks from meeting action items.

  • Use the Search field to find and select an Odoo project.

  • Leave this field unset if you don't want Fireflies to create tasks from meeting action items.

Once you've selected a project, click Continue.

Step 5: Test Connection

Before completing the setup, you can test your Odoo connection by creating a sample meeting.

  • Click Click to create sample meeting โ†’ Fireflies will send a sample meeting to Odoo based on your selected configuration.

  • Once the sample meeting is created, click Continue to proceed.

๐Ÿงฉ Additional Options โ€“ Integration Rules

By default, Fireflies sends meeting notes to Odoo for every meeting. If you only want certain meetings added to people in Odoo, Integration Rules let you control which meetings are sent.

Integration Rules are available on Business or higher plans.

๐Ÿ—‚ All Meetings

Automatically send meeting notes from every meeting to Odoo without applying any filters.

๐Ÿ“ Meeting Title

Only send meeting notes when the meeting title matches the rules you define (Contains, Starts with, Equals, Doesn't Contain).

Example: Add only meetings titled Interview, Candidate Screening, or Hiring Manager Review.

Separate multiple keywords with commas (for example: Interview, Candidate Screening, Hiring Manager Review).

๐Ÿ‘ค Meeting Host

Choose which meetings are shared based on who hosted the meeting.

  • Equals โ†’ Only send meeting notes for meetings hosted by john@example.com.

  • Not Equal โ†’ Send meeting notes for all meetings except those hosted by john@example.com.

Choose which meetings are shared based on who attended.

๐ŸŽฅ Meeting Type

Filter meetings by type.

Example: Equals โ†’ External โ†’ Only external interviews are added to Odoo.

โฑ Meeting Duration

Filter notes based on how long the meeting lasted.

  • Longer than โ†’ Only send meeting notes for meetings longer than the duration you specify.

  • Shorter than โ†’ Only send meeting notes for meetings shorter than the duration you specify.

Example: Set Longer than โ†’ 30 minutes to send only meeting notes from meetings that lasted more than 30 minutes.

๐Ÿ”€ Apply Multiple Filters

Combine filters for more precise note saving.

Example: Title contains โ€œInterviewโ€ AND host is john@example.com.

Rules can use AND (all conditions must match) or OR (any condition matches).

You can view all the filters currently applied to your configuration. In this example, meeting notes will only be sent to Odoo that match all of the selected conditions.

โœ… Example applied: Title contains "Client Review", host = "John", participant = "Mary", type = "External", and meeting duration is longer than 30 minutes.

๐Ÿ’พ Save Your Configuration

Click Save to activate the integration - a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations - for example, one for internal meetings and another for client calls.

๐Ÿ‘ฅ Team Integration Settings

Workspace admins can control how the Odoo integration is used across their team. The available options depend on your plan and workspace role.

Click the vertical ellipsis (โ‹ฎ) next to your Odoo and select Team Permissions from the dropdown list.

Business and Enterprise

If you are a Workspace Admin on a Business or Enterprise plan, you can manage granular Integration Permissions for the integration, including who can access and connect it.

Free and Pro

Free and Pro users do not have access to the full Integration Permissions dashboard. Instead, Team Permissions opens a modal with the available workspace-level settings.

  • Apply to entire workspace โ†’ Toggle this ON to apply the Odoo integration across your Fireflies workspace. All team meetings accessible by the team admin will have notes sent to Odoo, keeping everything centralized.

    ๐Ÿ“ŒMeetings that are set to private in a teammateโ€™s Privacy Settings wonโ€™t be pushed to Odoo unless youโ€™re a Super Admin who can access meetings regardless of privacy settings.

  • Restrict non-admin usage โ†’ Toggle this ON to prevent non-admin members from creating their own Odoo configurations. This helps maintain consistent data practices and avoids accidental ATS clutter.

After adjusting the toggles to fit your teamโ€™s workflow, click Save to apply the changes.

Note: Business and Enterprise Workspace Admins have access to granular integration permissions, while Free and Pro workspaces have more limited workspace-level controls.

๐Ÿ›  Manage Configuration

Over time, you may need to update your Odoo integration โ€” for example, to rename a configuration, update your integration settings or rules, or remove a configuration you no longer use. Fireflies provides a few simple options to manage this.

  • โœ Edit Configuration Name โ†’ Give each Odoo configuration a clear, descriptive name so it's easy to recognize. Click the configuration name (for example, Default Configuration), type a new name (such as Meeting Notes), and click outside the field to save.

  • โš™ Edit Configuration Settings โ†’ Need to update your Odoo settings or integration rules? Click the vertical ellipsis (โ‹ฎ) next to a configuration, select Edit, update the settings, and click Update to save your changes.

  • ๐Ÿ”˜ Enable or Disable a Configuration โ†’ Use the toggle next to a configuration to control it quickly. Toggle ON to send meeting notes to Odoo; toggle OFF to pause the integration without deleting it.

This is helpful if you have multiple configurations and only want one active at a time.

  • ๐Ÿ—‘ Delete Configuration โ†’ If a configuration is no longer needed (for example, you no longer want notes added to Odoo), you can delete it. Click the vertical ellipsis (โ‹ฎ) next to the configuration, select Delete, and confirm.

Deleting a configuration stops Fireflies from sending meeting notes to Odoo, so make sure itโ€™s no longer needed before removing it.

๐Ÿ“ค How Meeting Data Appears in Odoo

Once the integration is set up, Fireflies sends your meeting data to Odoo based on the options you selected during configuration.

  • Documents โ†’ Meeting notes are saved as documents in the selected Odoo Documents folder.

  • CRM โ†’ Meeting participants can be created as new contacts in Odoo Contacts, or meeting notes can be added to existing contacts.

  • Projects โ†’ Meeting action items are created as tasks in the Odoo project you selected.

This keeps your meeting notes, contacts and follow-up tasks organized directly in Odoo.

โช Push Past Meetings to Odoo

Sometimes, the meetings you want in Odoo happened before you connected the integration. Whether you enabled the integration later or simply want to add older meeting notes to your CRM, Push Past Meetings lets you choose a date range and meeting type, then send those meetings to Odoo CRM in just a few clicks.

Note: Make sure you've connected Odoo CRM and created at least one push configuration before using Push Past Meetings. If you haven't, complete the Setting Up Your Configuration section above first.

Follow the steps below to push past meetings to Odoo CRM.

  1. From the Odoo CRM integration page, click Push past meetings.

  2. A dialog box will appear. Choose the following:

  • Date range โ†’ Select the meetings you want to send by choosing Last 7, 14, 30, 60, or 90 days, or specify a custom date range.

  • Meetings to push โ†’ Choose whether to push Meetings I attended, Meetings I organized or joined, or All my meetings.

  1. Click Push. Fireflies will send the matching meeting notes to Odoo CRM using your existing configuration settings.

Meetings recorded after you connect Odoo are sent automatically. Push Past Meetings is only needed for meetings that happened before the integration was connected.

โœ… Manually Send Meeting Notes to Odoo

Prefer sending only certain meetings to Odoo? Fireflies also allows you to manually send meeting notes directly from the Notepad.

This is helpful when you want to review or edit notes first and then send only the relevant conversations to specific contacts, companies, or records in Odoo - without relying on automation rules or integration configurations.

โŒ Disconnect Integration

If you no longer need Fireflies connected to Odoo, you can disconnect the integration at any time.

Click Disconnect to remove the integration. Fireflies will stop sending meeting notes to people and companies in Odoo.

Once disconnected, Fireflies will stop adding meeting notes to Odoo. You can always reconnect later if needed.

Contact isn't created in Odoo

Make sure Create contacts from new meeting participants is enabled.

Make sure an Odoo project is selected and the meeting contains action items.

API key isn't working

Verify that the API key is correct and hasn't expired or been revoked.
