🔑 Prerequisites
Before connecting Wealthbox with Fireflies, make sure you have the following:
Active Wealthbox account → You’ll need a Wealthbox CRM account with permission to connect third-party apps.
Fireflies account → Log in to your Fireflies workspace, where you’ll set up the integration.
Access to the Integrations page → This is where you’ll link your Wealthbox account and configure preferences.
Once everything is ready, you can connect both platforms in just a few clicks.
🔗 Connect Fireflies with Wealthbox
Step 1: Log in to your Fireflies account, navigate to the Integrations page, and search for Wealthbox. Click on it to get started.

Step 2: Click Connect. You'll be redirected to Wealthbox, where you'll be asked to authorize the connection. Click Authorize, and within seconds, Fireflies will securely connect to your Wealthbox workspace.

Step 3: Once approved, you’ll be redirected back to Fireflies to configure your integration setup.

⚙ Setting Up Your Configuration
Step 1: Manage Your Contacts
Choose how Fireflies should handle contacts and meeting notes in Wealthbox.
Create New Contacts from Meeting Participants:
Turn this on to have Fireflies automatically create new contacts in Wealthbox for meeting participants who aren't already in your account.Send Notes to Contacts:
Turn this on to have Fireflies automatically send meeting notes to existing contacts in Wealthbox.
Once you've selected your preferences, click Continue to move to the next step.

Step 2: Map Notes to Opportunities
Meeting notes can also be added to related opportunities in Wealthbox, helping you keep client conversations connected to ongoing deals or projects.
Send Notes to Opportunities: Turn this on to have Fireflies automatically send meeting notes to all opportunities linked to the relevant contacts in Wealthbox.
Click Continue to move to the next step.

Step 3: Create Tasks from Action Items
Keep your meeting follow-ups organized by automatically turning action items into Wealthbox tasks. Here's how it works:
👤 One external participant → Fireflies creates a task and links it directly to that contact in Wealthbox.
👥 Multiple external participants → Fireflies creates a general task instead, since it can't determine which specific contact the task belongs to.
This helps ensure important follow-ups are captured and tracked automatically in Wealthbox.
Click Continue to proceed.

Step 4: Verify Your Wealthbox Setup
Before going live, it's a good idea to make sure everything is connected correctly. Fireflies provides a quick way to test the integration.
Click Create sample note for a sample contact in Wealthbox to send a sample note to Wealthbox.
Check your Wealthbox account to confirm the sample note was created successfully.
Once verified, click Continue to proceed.

These tests don’t affect your real contacts or meetings - they’re just to confirm the setup is working properly.
🧩Additional Options - Integration Rules
By default, Fireflies adds meeting notes and action items to Wealthbox for every meeting. While this ensures everything is captured, it can sometimes fill up your contacts or opportunities with unnecessary details. Integration Rules let you filter which meetings create tasks or notes, so only the important ones are added to Wealthbox.

🗂 All Meetings
Automatically add notes from every meeting — client calls, team syncs, or check-ins — with no filters applied.
📝 Meeting Title
Only create tasks in Wealthbox if the meeting title matches the rules you set (Contains, Starts with, Equals, Doesn’t Contain). Example: Only create tasks for meetings titled “Client Review” or “Interview.”
Add multiple keywords separated by commas (e.g., Interview, Client Review, Demo).
👤 Meeting Host
Filter tasks based on the meeting’s host.
Equals → Only create tasks for meetings hosted by john@example.com.
Not Equal → Create tasks for all meetings except those hosted by John.
👥 Meeting Participants
Filter tasks based on who attended.
Contains → Only create tasks if sara@example.com attended.
Doesn’t Contain → Exclude meetings that included alex@example.com.
🎦 Meeting Type
Filter by meeting type.
Example: Equals External → Only external meetings will create tasks in Wealthbox.
🔀 Apply Multiple Filters
Combine filters for more precise task creation.
Example: Title contains “Interview” AND host is john@example.com.
Rules can use AND (all conditions must match) or OR (any condition matches).

You can view all the filters currently applied to your configuration. In this example, tasks will only be created in Wealthbox for meetings that match all of these criteria:

💾 Save Your Configuration
Click Save to activate the integration — a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations — for example, one for internal meetings and another for client calls.
👥 Team Options
Sometimes, you may not want every teammate creating their own configurations for Wealthbox—especially if you need control over where meeting tasks or notes are created, or want to limit access for compliance. Integration Scope lets workspace admins decide whether the integration applies only to them or across the entire team.
1. Click the vertical ellipsis (⋮) next to your Wealthbox integration and select Team Options from the dropdown list.
2. A modal window will appear with these options:
Apply to entire workspace → Toggle this ON to apply the integration across your Fireflies workspace. All the team meetings accessible by the team admin will have tasks or notes created in Wealthbox, ensuring centralized control.
📌 Meetings that are set to private in a teammate’s Privacy Settings won’t be pushed to Wealthbox unless you’re a Super Admin who can access meetings irrespective of team privacy settings.
Restrict non-admin usage → Toggle this ON to prevent non-admin members from creating their own Wealthbox configurations. This is useful for tighter control over where tasks or notes are added.
3. After adjusting the toggles to match your team’s workflow, click Save to apply the changes.
Use workspace-level settings for sensitive meetings (e.g., client financial reviews) to keep access restricted. Choose personal configurations when teammates need flexibility to manage their own Wealthbox tasks and notes.

🛠 Manage Configuration
Over time, you may need to update your Wealthbox integration — whether it’s to rename a configuration, change where tasks/notes are added, or remove configurations you no longer use. Fireflies makes this easy with a few quick options:
✏ Edit Configuration Name → Give each Wealthbox configuration a clear, descriptive name so it’s easy to identify (especially useful if you’ve connected multiple teams or opportunities). Just click the configuration name (e.g., Default Configuration), type the new name (e.g., Sales Team Tasks), and click outside the field to save.
Clear names help when managing multiple Wealthbox configurations or teams.

⚙ Edit Configuration Settings → Need to update your Wealthbox settings? Click the vertical ellipsis (⋮) next to a configuration, select Edit, update the configuration options, and click Update to save.

🔘 Enable or Disable a Configuration → Use the toggle switch next to a configuration to quickly control it. Toggle ON to automatically create tasks or send meeting notes to Wealthbox; toggle OFF to pause without deleting.
This is useful if you’ve connected multiple Wealthbox configurations (e.g., Client Tasks and Internal Meetings) and only want one active at a time. Fireflies remembers your settings when you turn configurations back on.

🗑 Delete Configuration → If a configuration is no longer needed (for example, a project ends or your team no longer needs to track specific tasks in Wealthbox), you can safely delete it. Click the vertical ellipsis (⋮) next to the configuration, select Delete, and confirm.
Deleting a configuration means Fireflies will no longer create tasks or send meeting notes to Wealthbox, so make sure it’s no longer required before removing it.

Once integrated, Fireflies automatically sends meeting notes and action items to Wealthbox. Meeting notes can be added to the relevant contacts and opportunities, while action items are created as tasks, helping you keep client conversations and follow-ups organized in one place.

❌ Disconnect Integration
If you no longer need Fireflies connected to Wealthbox - for example, when switching projects or moving away from tracking specific tasks, you can disconnect it anytime with a single click.
Click the Disconnect button to remove the Wealthbox integration. This immediately ends the connection, and Fireflies will no longer create tasks or send meeting notes to Wealthbox.
Once disconnected, Fireflies will stop creating tasks and sending notes to Wealthbox. You can always reconnect later if needed.
