๐ Prerequisites
Before connecting Fireflies with Microsoft Teams, make sure the following are ready:
Microsoft Teams account โ You'll need access to the Microsoft Teams workspace where you want Fireflies to post meeting notes.
Fireflies account โ Log in to your Fireflies workspace to set up the integration.
Permission to install apps in Microsoft Teams โ You'll need permission to add the Fireflies app and authorize the integration.
A Microsoft Teams team and channel โ Meeting notes will be posted to the team and channel you select during setup.
๐ Connect Microsoft Teams to Fireflies
Step 1: Log in to your Fireflies account, click on the Integrations tab, and search for Microsoft Teams. Click on it to get started.

Step 2: Click Connect. You'll be redirected to the Microsoft sign-in page. Complete the Microsoft authentication process, and you'll be taken to the Microsoft authorization screen.

Step 3: Review the requested permissions, then click Accept to authorize Fireflies to access your Microsoft Teams workspace and send meeting notes to your selected channels.

Step 4: Once approved, youโll be redirected back to Fireflies to configure your integration setup.

โ Setting Up Your Configuration
Step 1: Select a Team and Channel
Choose where you want Fireflies to post meeting notes in Microsoft Teams. This helps ensure the right team receives meeting updates automatically after each meeting.
A Microsoft Teams business account is required to select a team and channel.
๐ก Can't find your team or channel? Create it in Microsoft Teams first, then return to Fireflies and refresh the page to see the latest changes.
Team โ Select the Microsoft Teams team where meeting notes should be shared.
Channel โ Choose the channel within the selected team where Fireflies will post meeting summaries, notes, transcripts, and recordings.
Once you've selected your team and channel, click Continue.

๐ Next, you'll need to install the Fireflies AI app in your Microsoft Teams workspace. This allows Fireflies to post meeting notes to the team and channel you selected.
Make sure the selected channel is set to Public or Shared.
Step 2: Install the Fireflies AI App in Microsoft Teams
To allow Fireflies to send meeting notes to your selected Microsoft Teams channel, you must first install the Fireflies AI app in your Microsoft Teams workspace.
1. Open Microsoft Teams.
2. From the left navigation menu, click Apps.

3. Search for Fireflies AI and select it from the search results.

4. Click Add and complete the installation.

5. Select the Microsoft Teams team or channel where you want to install the Fireflies AI app, then click Go.

6. A confirmation message will appear explaining that the Fireflies AI bot is used for notifications only. Click OK to complete the installation.
๐ Important: The Fireflies AI bot is used only to send meeting notes and notifications to your Microsoft Teams channel. It doesn't support chat conversations or @mentions.

Step 3: Create a Sample Note
Before you start using the integration, verify that Fireflies can successfully send meeting notes to your selected Microsoft Teams channel.
Click Create a sample note to send a sample meeting note to the selected Microsoft Teams channel.
Open Microsoft Teams and confirm that the sample note appears in the correct channel.
Once you've verified the sample note, click Continue to complete the setup.

This test won't affect your real meetings - it simply confirms that Fireflies can successfully send meeting notes to Microsoft Teams.

By default, Fireflies sends meeting notes to your selected Microsoft Teams channel after every meeting. If you only want certain meetings shared, Integration Rules let you control exactly which meeting notes are posted.
OneNote, so only the important ones are captured.

๐ All Meetings
Automatically send meeting notes from every meeting to your Microsoft Teams channel without applying any filters.
๐ Meeting Title
Only send meeting notes when the meeting title matches the rules you define (Contains, Starts with, Equals, Doesn't Contain).
Example: Share only meetings titled Client Review, Interview, or Demo.
Add multiple keywords separated by commas (e.g., Interview, Client Review, Demo).
๐ค Meeting Host
Choose which meetings are shared based on who hosted the meeting.
Equals โ Only send meeting notes for meetings hosted by john@example.com.
Not Equal โ Send meeting notes for all meetings except those hosted by john@example.com.

Choose which meetings are shared based on who attended.
Contains โ Only send meeting notes when sara@example.com attended.
Doesn't Contain โ Exclude meetings that included alex@example.com.

Filter meetings by type.
Example: Equals โ External to send only external meeting notes to Microsoft Teams.
โฑ Meeting Duration
Filter meetings based on their length.
Choose whether to include meetings that are:
Longer than โ Only send meeting notes for meetings longer than the duration you specify.
Shorter than โ Only send meeting notes for meetings shorter than the duration you specify.
Example: Set Longer than โ 30 minutes to send only meeting notes from meetings that lasted more than 30 minutes.
๐ Apply Multiple Filters
Combine filters for more precise note saving.
Example: Title contains โInterviewโ AND host is john@example.com.
Rules can use AND (all conditions must match) or OR (any condition matches).

You can view all the filters currently applied to your configuration. In this example, meeting notes will only be sent to Microsoft Teams for meetings that match all of the selected conditions.
โ Example applied: Title contains "Client Review", host = "John", participant = "Mary", type = "External", and meeting duration is longer than 30 minutes.

๐พ Save Your Configuration
Click Save to activate the integration - a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations - for example, one for internal meetings and another for client calls.
๐ฅ Team Options
If you want meeting notes to be posted consistently across your organization, Team Options lets workspace admins control how the Microsoft Teams integration is used.
1. Click the vertical ellipsis (โฎ) next to your Microsoft Teams integration and select Team Options.
2. A modal window will appear with these options:
Apply to entire workspace โ Toggle this ON to apply the integration across your Fireflies workspace. Meeting notes from all team meetings accessible by the admin will be posted to the configured Microsoft Teams channels.
๐ Meetings marked as private in a teammate's Privacy Settings won't be posted unless you're a Super Admin with access to all meetings.
Restrict non-admin usage โ Toggle this ON to prevent non-admin members from creating their own Microsoft Teams configurations. This helps keep meeting notes organized and ensures they're posted only to approved channels.
3. After configuring the settings for your workspace, click Save to apply the changes.

Use workspace-level settings to keep meeting notes flowing to shared Microsoft Teams channels, while personal configurations are better suited for individual workflows.
๐ Manage Configuration
Over time, you may need to update your Microsoft Teams integration - whether it's to rename a configuration, change the team or channel where meeting notes are posted, update integration rules, or remove configurations you no longer use. Fireflies makes this simple with a few quick options:
๐ Edit Configuration Name โ Give each Microsoft Teams configuration a clear, descriptive name so it's easy to recognize (especially if you've created multiple configurations for different teams or channels).
Click the configuration name (for example, Default Configuration), enter a new name (such as Sales Team Updates), and click outside the field to save.

โ Edit Configuration Settings โ Need to change the destination team, channel, or integration rules? Click the vertical ellipsis (โฎ) next to a configuration, select Edit, make your changes, and click Update to save.

๐ Enable or Disable a Configuration โ Use the toggle next to a configuration to quickly control whether Fireflies sends meeting notes to Microsoft Teams. Turn it ON to enable the integration or OFF to pause it without deleting the configuration.

This is useful if you have multiple configurations and only want one active at a time.
๐ Delete Configuration โ If you no longer need a configuration, click the vertical ellipsis (โฎ) next to it, select Delete, and confirm.

Deleting a configuration stops Fireflies from sending meeting notes to the associated Microsoft Teams channel. Make sure it's no longer needed before removing it.
๐ค How Meeting Notes Appear in Microsoft Teams
Once connected, Fireflies automatically posts meeting notes to your selected Microsoft Teams channel after every meeting - complete with the meeting title, summary, action items, and links to the full transcript.
Everything is shared directly in Microsoft Teams, making it easy for your team to stay informed, collaborate on follow-ups, and revisit important discussions without switching between apps.

โช Push Past Meetings to Microsoft Teams
Sometimes, the meetings you want in Microsoft Teams happened before you connected the integration. Whether you enabled the integration later or want to add older meeting notes to Microsoft Teams, Push Past Meetings lets you choose a date range and meeting type, then send those meetings in just a few clicks.
Note: Make sure you've connected Microsoft Teams and created at least one push configuration before using Push Past Meetings. If you haven't, complete the Setting Up Your Configuration section above first.
Follow the steps below to push past meetings to Microsoft Teams.
From the Microsoft Teams integration page, click Push past meetings.

A dialog box will appear. Choose the following:
Date range โ Select the meetings you want to send by choosing Last 7, 14, 30, 60, or 90 days, or specify a custom date range.

Meetings to push โ Choose whether to push Meetings I attended, Meetings I organized or joined, or All my meetings.

Click Push. Fireflies will send the matching meeting notes to Microsoft Teams using your existing configuration settings.

Meetings recorded after you connect Microsoft Teams are sent automatically. Push Past Meetings is only needed for meetings that happened before the integration was connected.

โ Disconnect Integration
If you no longer need Fireflies connected to Microsoft Teamsโfor example, when switching channels, changing workspaces, or no longer sharing meeting notes in Teamsโyou can disconnect the integration at any time.
Click Disconnect to remove the Microsoft Teams integration. This immediately ends the connection, and Fireflies will stop posting meeting notes to your Microsoft Teams channels.

Once disconnected, Fireflies will no longer send meeting notes to Microsoft Teams. You can reconnect the integration anytime if you want to resume sharing meeting notes.
