This guide provides an overview on how to use the Rules Engine feature.
About Rules Engine
The Rules Engine feature lets admins set custom rules to automatically send any meetings to specific Channels or share them with designated User Groups.
For example, you can create a rule to send all meetings with a title containing "Performance Reviews" to the HR Channel and share them exclusively with the HR User Group.
Note:
- Only admins can create rules.
- This feature is exclusive for users on the Enterprise plans.
How to access the Rules Engine
You can set up the Rules engine from the Team or the Channels page.
1. From the Fireflies Team page:
- From the Fireflies dashboard, click Team.
- Click the Settings icon.
- Click Rules and then Create Rules to start.
2. From the public or private Channels:
- From the Fireflies dashboard, click Meetings.
- Open a Channel and click Auto Route.
Note: To view or manage these rules, navigate to Teams > Settings > Rules, where all rules will be listed.
How to create rules
- Click Create Rule. In this example, we’ll create a rule from the Team tab under Rules.
- Name your rule.
- Click the Select Filter dropdown and choose one of the following.
- Meeting title
- Meeting host
- Meeting participants
- Meeting type
- Choose a second parameter:
- Contains
- Doesn’t contain
- Starts with
- Ends with
- Equals
- Not Equal
- To create a rule based on the Meeting title, enter the title. For this example, we’ve selected the Contains parameter.
- Click the plus icon to add more rules.
- For example, you can create rules based on the Meeting title and Meeting host.
- You can also create multiple conditions in the same set using AND or OR operators.
- To delete a specific condition, click the trash can icon.
- Next, choose any of these parameters from the Select Action dropdown:
- Auto-route: Fireflies will automatically send meetings to a specific Channel.
- Auto-share: Fireflies will automatically share meetings with a specific user or User Group.
- Click Auto-route and select a channel name.
- To send meetings to both a channel and users/groups, click the plus icon and select Auto-share.
- Enter the group name or specific teammate’s email address or both. Once your rules are set, click Save.
- The new rule will appear in the Rules section of Team.
How to edit and update rules
- Click the three dots next to the rule.
- Click Edit.
- Once you’re done with the edits, click Update.
How to delete a rule
- Click the three dots next to the rule.
- Click Delete.
- Confirm by clicking the Delete option to delete the rule.
