All your meeting transcripts, recordings, and summaries are automatically saved in a dedicated Box folder, so you can access everything instantly, stay organized, and keep your workflow seamless.

🔍 What does the Box Integration Do?

Think of the Box integration as your personal helper that keeps all your meeting files organized. No more searching for recordings or manually moving files—Fireflies ensures everything is neatly stored in Box. Here’s how it helps:

📂 Keep everything in one folder → Transcripts, summaries, and recordings are pushed straight to the Box folder you choose.

Stay in control → Define exactly which files are stored and how they’re formatted, ensuring your team only receives relevant information.

🔧 Custom rules for your meetings → Want only client calls or sessions with a specific host saved? Just set up rules, and the integration will be active only when those conditions are met (available on Business & Enterprise plans).

🔑 Prerequisites

Admin rights may be required in both Box and Fireflies to set up integration.

🔗 Connect the Box to Fireflies

Step 1: Log in to your Fireflies account, click on the Integrations tab, and search for Box. Click on it to get started.

Step 2: Click on the Connect button, and you’ll be redirected to the Box login page. Complete the sign-in process, and you will be redirected to the authorization page.

Step 3: Click on the Grant Access to Box button to authorize Fireflies to read and write all files and folders in your Box account, enable the integration, and manage webhooks.

Step 4: Once approved, you’ll be redirected back to Fireflies to configure your integration setup.

Setting Up Your Configuration

Step 1: Choose your action and destination folder.

  • Pull recordings from Box → Import existing Box recordings into Fireflies for transcription.

  • Send meeting data to Box → Export transcripts, recordings, and summaries directly into Box.

Then, pick a destination folder — either use an existing one or create a new folder (e.g., Fireflies Demo) to keep files organized.

Step 2: Choose what Fireflies should save for you.

Think about what’s most useful for your team after a meeting — do you want the full transcript, the raw recording, or just a quick recap? Fireflies lets you pick exactly what gets stored in Box.

  • Save Meeting Transcript → A full transcript of everything that was said.

  • Save Meeting Recording → The audio file from your meeting. On a Business plan or higher, if a video is available, Fireflies saves that too.

  • Save Meeting Summary → A handy AI summary with key points and action items.

Once you’ve made your choices, click on the Continue button.

🧩 Additional Options - Integration Rules

By default, Fireflies sends files from every meeting to Box. That ensures nothing is missed, but it may also fill your folder with files you don’t always need. Integration Rules let you filter which meetings deliver files — so only the ones that matter are stored in Box.

📝 Meeting Title

Only deliver files if the meeting title matches rules you set (Contains, Starts with, Equals, Doesn’t Contain). Example: Store files only for meetings titled Client Review or Interview.

Add multiple keywords separated by commas (e.g., Interview, Client Review, Demo).

Filter files by the meeting’s host.

  • Equals → Only files from meetings hosted by john@example.com.

  • Not Equal → Files from all meetings except those hosted by John.

🔀 Apply Multiple Filters

Combine filters for precision.

• Example: Title contains Interview AND host is john@example.com.

• Rules use AND (all conditions must match) or OR (any condition matches).

You can view all the filters currently applied to the configuration. In this example, files will only be delivered to Box for meetings that meet all of these criteria:

📄 Transcript Format

Decide how your meeting transcripts should be saved when they land in Box.

You can choose from formats like PDF, DOCX, JSON, CSV, or SRT, and turn on helpful options such as:

  • Include speaker labels → See who said what.

  • Include timestamps → Quickly jump to moments in the transcript.

💡 Example: Use CSV if you want to process transcripts in Sheets, or PDF if you just want a clean, shareable copy.

💾 Save Your Configuration

Click Save to activate the integration — a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations — for example, one for internal meetings and another for client calls.

👥 Team Options

Sometimes you don’t want every teammate setting up their own Box configurations — especially if you need to keep control over where files go or limit access for compliance. That’s where Integration Scope comes in. It lets workspace admins decide whether this integration is applied just to them or across the entire team.

  1. Click the vertical ellipsis (⋮) next to your Box and select Team Options from the dropdown list.

  2. A modal window will appear with the following options:

  • Apply to entire workspace → Toggle this ON to apply the integration across your Fireflies workspace. All the team meetings accessible by the team admin are pushed privately to Box, keeping things consistent and centralized.

📌 Meetings that are set to private in a teammate’s Privacy Settings won’t be pushed to Box unless you’re a Super Admin who can access meetings irrespective of team privacy settings.

  • Restrict non-admin usage → Toggle this ON to prevent non-admin members from creating their own Box configurations. This is useful when you want tighter control over data sharing

  1. After you’ve adjusted the toggles to match your workflow, click Save to apply the changes.

Use workspace-level settings when handling sensitive meetings (e.g., HR interviews) to keep access restricted. Choose personal configurations when teammates need the freedom to manage their own files.

🛠 Manage Configuration

Over time, you may need to adjust your Box integration — maybe to keep configuration names clear, update folder settings, or remove ones you no longer use. Fireflies gives you a few simple options:

  • Edit Configuration Name → Give each Box configuration a clear, descriptive name so it’s easy to recognize (especially helpful if you’ve connected multiple folders). Just click the configuration name (e.g., Default Configuration), type the new name (e.g., HR Interviews), and click outside the field to save.

    Clear names are especially helpful when you’re managing more than one configuration.

  • Edit Configuration Settings → Need to adjust where your files go or how they’re organized? Click the vertical ellipsis (⋮) next to a configuration, select Edit, update the folder location or output preferences (transcripts, recordings, summaries), and click Update to save.

You can’t change the action (whether Fireflies pulls recordings from Box or sends meeting data to Box) once a configuration is created. To switch, delete the existing configuration and create a new one.

  • 🗑 Delete Configuration → If a configuration is no longer useful (e.g., a project ends or your team moves to a different Box folder), you can safely delete it. Click the vertical ellipsis (⋮) next to the configuration, select Delete, and confirm.

Deleting a configuration means Fireflies will no longer deliver those meetings to Box. Make sure it’s no longer needed before you remove it.

  • 🔘 Enable or Disable a Configuration → Use the toggle switch next to a configuration to quickly control it. Toggle ON to deliver meeting files (transcripts, recordings, summaries) to the linked Box folder; toggle OFF to pause without deleting.

This is handy if you’ve connected multiple Box folders (e.g., Client Calls and Internal Meetings) and only want one active at a time. Fireflies remembers your settings when you turn configurations back on.

📤 How Files Appear in Box

Fireflies automatically saves your meeting transcripts, recordings, and summaries into the Box folder you’ve selected.

Disconnect Integration

If you no longer need Fireflies connected to Box — for example, when cleaning up old tools or moving to a new storage platform — you can disconnect it with a single click.

Click the Disconnect button to remove the Box integration. This action immediately ends the connection, and Fireflies will no longer transfer files to Box.

Once disconnected, Fireflies will stop sending or pulling files from Box. You can always reconnect later if needed.
