Before using Email Assistant, ensure you have:

  • A connected email account - Email Assistant must be connected to your inbox.

  • An active Fireflies account - Required to access Email Assistant features

🚀 What Email Assistant Does ?

After enable Email Assistant, it runs in the background and performs three core functions.

1⃣Organizes and labels emails in your inbox

Email Assistant automatically categorizes new emails with labels that indicate the type of action needed.

How it works:

  • Fireflies email assistnat applies labels to emails as they arrive

  • Labels appear in your inbox next to the subject line

  • Each label identifies the email's category and required action

You may see labels such as:

  • Needs Action — emails that require a reply or decision

  • Read Only — informational emails that don’t need a response

  • Conversations — ongoing discussions and replies

  • System Alerts — automated messages from tools or services

  • Schedule — calendar invites, updates, and reschedules

Labels help you prioritize emails without opening them. Your existing inbox workflow remains unchanged.

2⃣ Generates draft replies for incoming emails

Email Assistant creates draft responses for emails that require replies, reducing the time you spend writing from scratch.

How it works:

  • The email assisatnt analyzes incoming email content and context

  • Drafts appear in your inbox when the system detects a response is needed

  • You stay full control: review, edit, and manually send each draft

  • Email assistnat never sends emails automatically

  • Drafts are optional — you can use them, change them, or delete them

Email Drafts consume AI credits based on the complexity of the draft created

Customization options:

  • Email selection criteria - Choose which incoming emails trigger draft creation (important only, high-priority, likely needing reply, most conversations, or all emails)

You can modify these settings or disable Auto Draft completely at any time.

3⃣Creates follow-up drafts for sent emails

If you send an email and don’t get a response within the selected timeframe, Email Assistant creates a follow-up draft for you.

How it works:

  • Follow-up drafts are created for emails you’ve already sent when no reply is received

  • They act as a reminder draft, not an automatic message

  • When no reply is received within your chosen timeframe, a follow-up draft is generated

  • Follow-up drafts appear in the original email thread

  • You can review, edit, customize, and send the follow-up manually

  • Nothing is sent automatically — you stay in full control

You can specify the waiting period (1 day, 2 days, 3 days, 1 week, or custom timeframe) in settings.

  • Drafts are created based on the email content and thread context

  • Drafts follow your writing style settings (tone, formality, greetings, sign-offs, and emoji usage)

  • Draft quality may vary depending on how much information is available in the email

  • You can edit, customize, rewrite, or delete any draft before sending

  • If something feels missing or off, a quick edit usually helps

Email Assistant only processes new emails received after connection. Existing emails won’t be labeled or drafted.
