How to Integrate SharePoint with Fireflies

🔑 Prerequisites
Before connecting Fireflies with SharePoint, make sure these prerequisites are in place for a smooth setup.
Fireflies account → Log in to your Fireflies workspace, where you’ll manage the integration.
Microsoft 365 account → Sign in with the account that has permission to connect to SharePoint.
SharePoint site & folder access → Make sure you can access the site and folders where Fireflies will save your transcripts and recordings.
🔗 Connect SharePoint to Fireflies
Step 1: Log in to your Fireflies account, click on the Integrations tab, and search for SharePoint. Click on it to get started.

Step 2: Click Connect and sign in with your Microsoft 365 account. A quick authorization screen will appear, and in just a few seconds, Fireflies will securely connect to your SharePoint.

Step 3: Once approved, you’ll be redirected back to Fireflies to configure your integration setup.

⚙ Setting Up Your Configuration
Step 1: Choose your SharePoint site and folder
Pick the exact place in SharePoint where Fireflies will send your meeting data. This way, everything stays organized and easy to find later.
Select your site → Use the dropdown or search bar to choose the SharePoint site (for example, a Communication site) where files should go.
Pick a folder → Many teams create a dedicated “Fireflies Meetings” folder inside that site to keep transcripts, summaries, and recordings neatly stored.
If you don’t see the folder in the list, create it first in your SharePoint site — for example, a folder called Fireflies Meetings to keep all files in one place.

Step 2: Choose what Fireflies should save for you
Think about what’s most useful for your team after a meeting — do you want the full transcript, the raw recording, or just a quick recap? Fireflies lets you pick exactly what gets stored in SharePoint.
Save Meeting Transcript → Automatically saves the full transcript in Fireflies Meetings > Transcripts.
Save Meeting Recording → Saves the audio file from your meeting. On a Business plan or higher, if a video recording is available, Fireflies saves the video instead in Fireflies Meetings > Recordings.
Save Meeting Summary → Stores an AI-generated summary with key points and action items in Fireflies Meetings > Summaries.
Once you’ve made your choices, click Continue to move forward.

Step 3: Verify your SharePoint setup
Before going live, it’s a good idea to make sure everything is connected correctly. Fireflies gives you a quick way to test this.
Click “Verify SharePoint setup” → Fireflies will instantly send a sample file to the folder you selected.
Check your SharePoint site to confirm the file appears in the right place.
Once you’ve verified it, click Continue to move forward.
These tests don’t affect your real meetings or projects — they’re just for confirming the setup.

🧩Additional Options - Integration Rules
By default, Fireflies sends files from every meeting to SharePoint. That way, nothing is missed — but it can also overflow your folder with files you don’t always need. Integration Rules let you filter which meetings deliver files, so only the ones that matter are stored in SharePoint.
Integration Rules are available on Business or higher plans.

🗂 All Meetings
Send files from every meeting — client calls, team syncs, check-ins — with no filters applied.
📝 Meeting Title
Only send files if the meeting title matches the rules you set (Contains, Starts with, Equals, Doesn’t Contain). Example: Only save files for meetings titled “Client Review” or “Interview.”
Add multiple keywords separated by commas (e.g., Interview, Client Review, Demo).
👤 Meeting Host
Filter files by the meeting’s host.
Equals → Only save files from meetings hosted by john@example.com.
Not Equal → Save files from all meetings except those hosted by John.
👥 Meeting Participants
Filter files based on who attended.
Contains → Only save files if sara@example.com was a participant.
Doesn’t Contain → Exclude files from meetings that included alex@example.com.
🎦 Meeting Type
Filter by meeting type.
Example: Equals External → Only external meetings will be saved to SharePoint.
🔀 Apply Multiple Filters
Combine filters for precision.
Example: Title contains “Interview” AND host is john@example.com.
Rules use AND (all conditions must match) or OR (any condition matches).

You can view all the filters currently applied to your configuration. In this example, files will only be delivered to SharePoint for meetings that match all of these criteria:

📄 Transcript Format
Decide how your meeting transcripts should be saved when they land in SharePoint.
You can choose from formats like PDF, DOCX, JSON, CSV, or SRT, and turn on helpful options such as:
✅ Include speaker labels → See who said what.
✅ Include timestamps → Quickly jump to moments in the transcript.
💡 Example: Choose CSV if you plan to analyze transcripts in Excel or Sheets, or PDF if you just want a clean, shareable copy in your SharePoint folder.

📝Summary Format
Choose the format for your AI-generated meeting summaries.
Supported formats: PDF, DOCX

💾 Save Your Configuration
Click Save to activate the integration — a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations — for example, one for internal meetings and another for client calls.
👥 Team Options
Sometimes you don’t want every teammate creating their own SharePoint configurations — especially if you need control over where meeting files are saved or want to limit access for compliance. That’s where Integration Scope comes in. It allows workspace admins to decide whether the integration applies just to them or across the entire team.
Click the vertical ellipsis (⋮) next to your SharePoint integration and select Team Options from the dropdown list.
A modal window will appear with these options:
Apply to entire workspace → Toggle this ON to apply the integration across your Fireflies workspace. All the team meetings accessible by the team admin will be pushed to SharePoint, keeping things centralized and consistent.
📌 Meetings that are set to private in a teammate’s Privacy Settings won’t be pushed to SharePoint unless you’re a Super Admin who can access meetings irrespective of team privacy settings.
Restrict non-admin usage → Toggle this ON to prevent non-admin members from creating their own SharePoint configurations. This is useful when you want tighter control over data storage and sharing.
After adjusting the toggles to fit your workflow, click Save to apply the changes.
Use workspace-level settings when handling sensitive meetings (e.g., HR interviews) to keep access restricted. Choose personal configurations when teammates need flexibility to manage their own files.

🛠 Manage Configuration
Over time, you may need to update your SharePoint integration — maybe to rename a configuration, adjust the site or folder, or remove ones you no longer need. Fireflies makes this simple with a few options:
✏ Edit Configuration Name → Give each SharePoint configuration a clear, descriptive name so it’s easy to recognize (especially helpful if you’ve connected multiple sites or folders). Just click the configuration name (e.g., Default Configuration), type the new name (e.g., HR Interviews), and click outside the field to save.
Clear names are especially helpful when you’re managing more than one configuration.

⚙ Edit Configuration Settings → Need to adjust where your files go or what Fireflies saves? Click the vertical ellipsis (⋮) next to a configuration, select Edit, update the SharePoint site or folder, change your output preferences (transcripts, recordings, summaries), and click Update to save.

🗑 Delete Configuration → If a configuration is no longer useful (for example, a project ends or your team moves to a different SharePoint folder), you can safely delete it. Click the vertical ellipsis (⋮) next to the configuration, select Delete, and confirm.
Deleting a configuration means Fireflies will no longer deliver meeting files to that SharePoint location, so double-check it’s no longer needed before you remove it.

🔘 Enable or Disable a Configuration → Use the toggle switch next to a configuration to quickly control it. Toggle ON to deliver meeting files (transcripts, recordings, summaries) to the linked SharePoint folder; toggle OFF to pause without deleting.
This is handy if you’ve connected multiple SharePoint folders (e.g., Client Calls and Internal Meetings) and only want one active at a time. Fireflies remembers your settings when you turn configurations back on.

📤 How Files Appear in SharePoint
Fireflies automatically saves your meeting transcripts, recordings, and summaries into the SharePoint site and folder you select. Everything is neatly sorted into subfolders — Transcripts, Recordings, and Summaries — inside Fireflies Meetings, so you always know where to find them.

❌ Disconnect Integration
If you no longer need Fireflies connected to SharePoint — for example, when cleaning up old folders or moving to a different storage setup — you can disconnect it with a single click.
Click the Disconnect button to remove the SharePoint integration. This immediately ends the connection, and Fireflies will no longer transfer files to SharePoint.
Once disconnected, Fireflies will stop sending files to SharePoint. You can always reconnect later if needed.
