How to Build Your Own AI Skill to Automate Meeting Workflows, Summaries, or Insights

Fireflies lets you create powerful AI Skills that automatically analyze your meetings and generate summaries, insights, action items, and more—tailored exactly to your workflow.

Whether you want a skill that processes one meeting at a time or a scheduled multi-meeting workflow that runs daily, weekly, or monthly, this guide walks you through building your own AI Skill from scratch.

You'll learn how to write instructions, set visibility, choose when the skill runs, add integrations, and preview your output before saving your skill.

🔑 Prerequisites

Before you start building your own AI Skill, make sure:

  • You have an active Fireflies account with access to AI Skills..

  • You have enough AI Credits (each skill run consumes 1 credit on a one-time basis).

  • If you plan to send outputs to other platforms (HubSpot, Notion, Slack, etc.), ensure the integrations are already connected.

🚀 Create an AI Skill (Step-by-Step)

1. Go to the AI Skills feed

Log in to your Fireflies account and click on the AI Skills tab from the left-hand menu to open your AI Skills Feed.

2. Create an AI Skill

  1. Click the Create button at the top-right of the AI Skills Feed to start building your custom AI Skill.

  1. A setup window will appear where you can set up and customize your skill.

3. Name Your Skill & Describe What It Should Do

  • Skill Name: Give your skill a clear, descriptive name so you can easily identify it later (e.g., Sales Call Summary Generator, Weekly Performance Extractor).

  • Description: Explain exactly what you want the skill to generate—more specific instructions lead to better results.

Example: “Create a sales-focused summary highlighting pain points, budget, timeline, key objections, decision-makers, and next steps.”

4. Add Instructions for Your AI Skill

In the Instructions box, clearly describe what you want your AI Skill to generate. The more specific you are, the better the results.

You can include:

  • What to extract (e.g., “Highlight pain points, budget, objections, decision-makers, next steps.”)

  • Formatting (e.g., “Return the output in bullet points.”)

  • Constraints (e.g., “Keep it concise and avoid repetition.”)

This is the core instruction your skill will follow for every meeting.

Step 5: Set Your Skill Schedule (Optional)

Choose when your AI Skill should run. You can let it run automatically based on the schedule you prefer.

For each schedule type, Fireflies displays a default runtime on your dashboard. Daily and weekly schedules follow this same default time.

  • Daily – Runs automatically every day at the default time.

  • Weekly – Runs once a week at the same default time.

  • Monthly – Runs once a month on a selected date (1st–28th) and at the same default time.

  • Per Meeting – Runs automatically after each meeting is processed. Ideal for: 1:1 summaries, sales call analysis, and action item extraction.

6. Select Output Visibility

Choose who can see the AI Skill outputs:

  • Only me: Only you can view the results.

  • Teammates: Everyone in your team can view the results.

  • Share via link: Anyone with the shareable link can view the skill output.

7. Choose Where the Skill Should Run

Decide which meetings your AI Skill should analyze automatically. Fireflies lets you control this with flexible “Run skill on” options:

  1. My meetings — The AI Skill runs only on meetings where you are the host or participant.

  2. My workspace’s meetings—The AI Skill runs for all meetings across your workspace (available for admins).

  3. Custom—Apply the skill only to specific meetings based on:

  • Meeting host (e.g., run only for meetings hosted by certain teammates)

  • Meeting participants (e.g., run only when specific people attend)

  • Meeting title (e.g., “Customer Call,” “Sales Demo,” “Team Sync”)

  • Meeting type—internal vs external meetings

This gives you precise control so the skill only runs where it’s actually needed.

8. Connect Integrations (Optional)

Choose where you want your AI Skill’s output to be sent. You can connect supported tools like Notion, HubSpot, ClickUp, Slack, or storage integrations—depending on whether you're building a single-meeting or multi-meeting app.

  • Single-meeting apps: Support only selected integrations.

  • Multi-meeting apps: Can send outputs to supported storage tools (as recently launched).

When you select Per Meeting, you’ll see extra options such as GPT model selection and Integrations (Slack, HubSpot, Notion, etc.). These options are not available for Daily/Weekly/Monthly schedules, since scheduled multi-meeting apps run on aggregated meetings and follow a simplified configuration.

9. Select Meetings to Preview Your Skill Output

Before creating the skill, you need to select at least two meetings so Fireflies can generate a preview.

This helps you check whether your instructions are working correctly and refine them if needed.

  • Choose 2 or more meetings from your meeting list.

  • Fireflies will generate a sample output based on your prompt.

  • Review the preview and adjust your instructions for better accuracy.

10. Create Your Skill

Once you’ve reviewed all your settings—instructions, schedule, visibility, integrations, and preview—click Create Skill to save and activate your AI Skill.

11. View Your AI Skill

After creating your skill, you can find it anytime under AI Skills → My Skills, where you can edit, customize, preview, delete, or toggle the AI Skill ON/OFF.
