How to Integrate Airtable with Fireflies

The Airtable + Fireflies integration automatically sends your meeting transcripts, summaries, and key insights to Airtable bases, so everything stays organized without manual copy-pasting.

🔍 What does the Airtable Integration Do?

The integration connects your meetings to Airtable, turning conversations into structured, searchable data.

It helps you:

  • Centralize meeting info — Auto-sync transcripts, summaries, and notes.

  • Stay organized — Sort by client, project, or campaign using Airtable fields.

  • Find insights easily — Track recurring themes and key decisions.

🔑 Prerequisites

Before you connect Fireflies to Airtable, make sure you have the right setup in place.

  • Airtable Account → You’ll need an Airtable account with permission to create or edit bases where meeting data will be stored.

  • Fireflies Account → An active Fireflies account with integration permissions enabled.

  • Base Access → Access to at least one Airtable base where Fireflies can push transcripts and summaries.

Create a dedicated base just for Fireflies data to keep things clean and easy to search.

🔗 Connect the Airtable to Fireflies

Step 1: Log in to your Fireflies account, click on the Integrations tab, and search for Airtable. Click on it to get started.

Step 2: Click on the Connect button, and you’ll be redirected to the Airtable login page. Complete the sign-in process, and you will be redirected to the authorization page.

Step 3: Select your Airtable base and click Grant Access. This authorizes Fireflies to read and write data in your Airtable workspace.

Step 4: Once approved, you’ll be redirected back to Fireflies to configure your integration setup.

Setting Up Your Configuration

Step 1: Select Your Airtable Base

This is the Airtable base where Fireflies will send your meeting data. Open the base dropdown menu and pick the one that contains the table you want to connect Fireflies to (e.g., DocuFlow).

Bases need to be created first in Airtable. If you don’t see your base in the Select Base dropdown, refresh the screen.

Step 2: Select a Table

Inside that base, decide which table will store the new meeting data. For instance, in the DocuFlow base, you might see tables like Documentation Projects or Team Members. Pick the one that makes sense for your workflow.

Step 3: Create a Sample Meeting in Airtable

Before relying on the integration in real meetings, test it out.

  • Click Create Sample Meeting.

  • Fireflies will instantly add a test entry to your selected Airtable base and table.

This quick check ensures everything is working as expected before your first live meeting.

🧩 Additional Options - Integration Rules

By default, Fireflies sends data from every meeting to Airtable. While this ensures no meeting goes unnoticed, it can clutter your base. Integration Rules allow you to filter which meetings send data — so only the important meetings make it into your Airtable base.

🗂 All Meetings

Capture tasks from every meeting — client calls, team syncs, check-ins — with no filters applied.

📝 Meeting Title

Only create tasks if the meeting title matches rules you set (Contains, Starts with, Equals, Doesn’t Contain). Example: Only generate tasks for Client Review or Interview meetings.

Add multiple keywords separated by commas (e.g., Interview, Client Review, Demo).

👤 Meeting Host

Filter tasks by the meeting’s host.

Equals → Only tasks from meetings hosted by john@example.com.

Not Equal → Tasks from all meetings except those hosted by John.

👥 Meeting Participants

Filter tasks based on who attended.

Contains → Only meetings with sara@example.com.

Doesn’t Contain → Exclude meetings with alex@example.com.

🎦 Meeting Type

Filter by meeting type.

Example: Equals External → Only external calls will be stored in your Airtable base.

🔀 Apply Multiple Filters

Combine filters for precision.

• Example: Title contains Interview AND host is john@example.com.

• Rules use AND (all conditions must match) or OR (any condition matches).

You can view all the filters currently applied to the configuration. In this example, files will only be delivered to Airtable for meetings that meet all of these criteria:

💾 Save Your Configuration

Click Save to activate the integration — a flash message will confirm that your configuration has been successfully added.

👥 Team Options

Sometimes you don’t want every teammate setting up their own Airtable configurations — especially if you need to control where meeting data goes or limit access for compliance. That’s where Integration Scope comes in. It lets workspace admins decide whether this integration applies just to them or across the entire team.

  1. Click the vertical ellipsis (⋮) next to your Airtable base and select Team Options from the dropdown list.

  2. A modal window will appear with the following options:

  • Apply to entire workspace → Toggle this ON to apply the integration across your Fireflies workspace. All the team meetings accessible by the team admin will be pushed to Airtable, keeping things centralized and consistent.

📌 Meetings that are set to private in a teammate’s Privacy Settings won’t be pushed to Airtable unless you’re a Super Admin who can access meetings irrespective of team privacy settings.

  • Restrict non-admin usage → Toggle this ON to prevent non-admin members from creating their own Airtable configurations. This is useful for maintaining tighter control over data organization.

  1. After adjusting the toggles to match your workflow, click Save to apply the changes.

Use workspace-level settings when handling sensitive meetings (e.g., HR interviews) to ensure data access is restricted. Choose personal configurations when teammates need the freedom to manage their own Airtable tasks and meeting data.

🛠 Manage Configuration

Over time, you may need to adjust your Airtable integration — maybe to keep configuration names clear, update the base or table, or remove ones you no longer use. Fireflies gives you a few simple options:

  • Edit Configuration Name → Give each Airtable configuration a clear, descriptive name so it’s easy to recognize (especially helpful if you’ve connected multiple bases or tables). Just click the configuration name (e.g., Default Configuration), type the new name (e.g., Client Meetings), and click outside the field to save.

Clear names are especially helpful when you’re managing more than one configuration.

  • Edit Configuration Settings → Need to adjust where your meeting data goes or how it's organized? Click the vertical ellipsis (⋮) next to a configuration, select Edit, update the base or table location, or modify any other settings (e.g., which columns get updated with new data), and click Update to save.

  • 🗑 Delete Configuration → If a configuration is no longer useful (e.g., a project ends or your team moves to a different Airtable base), you can safely delete it. Click the vertical ellipsis (⋮) next to the configuration, select Delete, and confirm.

Deleting a configuration means Fireflies will no longer send meeting data to that Airtable base or table. Make sure it’s no longer needed before you remove it.

  • 🔘 Enable or Disable a Configuration → Use the toggle switch next to a configuration to quickly control it. Toggle ON to deliver meeting data (transcripts, recordings, summaries) to the linked Airtable base and table; toggle OFF to pause without deleting.

This is handy if you’ve connected multiple Airtable bases (e.g., Client Calls and Internal Meetings) and only want one active at a time. Fireflies remembers your settings when you turn configurations back on.

📤 How Meeting Data Appears in Airtable

Fireflies automatically sends your meeting transcripts, recordings, and summaries into the Airtable base and table you’ve selected.

Disconnect Integration

If you no longer need Fireflies connected to Airtable — for example, when cleaning up old integrations or moving to a new database — you can disconnect it with a single click.

Click the Disconnect button to remove the Airtable integration. This action immediately ends the connection, and Fireflies will no longer send meeting data to Airtable.

Once disconnected, Fireflies will stop sending data to Airtable. You can always reconnect later if needed.
