This guide covers the steps to invite Fireflies to your Microsoft Teams meetings. These steps include:
Configure Microsoft Teams settings
Before inviting Fireflies to your meeting, configure two settings in the Microsoft Teams admin center. Here's how:
1. Enable guest access
Guest access allows fred@fireflies.ai to join your Microsoft Teams meeting as a guest. By default, this setting is turned off in Microsoft Teams, and you'll need admin privileges to enable it.
Follow these steps to enable guest access:
- Go to the Microsoft Teams Admin Center and log in with your credentials.
- This takes you to the Microsoft Teams Admin Center dashboard.
- Click Users and select Guest Access.
- Turn Guest Access ON and click Save. This allows people in your organization to invite guest users like Fireflies.

With Guest Access enabled, Fireflies can now join your meetings. However, by default, Microsoft Teams requires guests to wait in the lobby. To allow Fireflies to join meetings on time, you’ll need to adjust the lobby settings.
2. Bypass Lobby
To configure lobby settings, follow these steps:
- From the Microsoft Teams admin Center, go to Meetings and click Meeting Policies.
- Select the policy you want to update.
- Scroll down to the Meeting join & lobby and set who can bypass the lobby as People in my org and guests, or Everyone.
- Click Save to save the changes. This setting will be applied to all meetings.
Note: Adjusting this setting allows Fireflies to join meetings promptly without waiting in the lobby.
Invite Fireflies to a Microsoft Teams meeting
Once the settings are configured, you can invite Fireflies to a meeting in two ways:
1. Add Fireflies to your calendar as a guest
Invite Fireflies by adding fred@fireflies.ai as a participant via your Outlook calendar. Ensure the meeting link is included in the invite. This method works if your auto-join settings are configured to "Only when I invite fred@fireflies.ai."

2. Allow Fireflies to automatically join your meetings
- On the top right corner of the dashboard, click the Auto-join calendar meetings dropdown.
- There are five auto-join options available. Choose one of the first four options based on your specific needs. If you select the fifth option, Fireflies will not join your meeting automatically.
All meetings with a web-conf link | Fireflies will automatically join all meetings that include a web-conference link. |
Only meeting that I own | Fireflies will only join those meetings where you are the host. |
Only meetings with @domain participants |
Fireflies will join if the meeting participants have email addresses with the specified domain. Example: Internal meetings with colleagues (e.g., @yourcompany.com). |
Only meeting with non-@domain participants |
Fireflies will join if the meeting participants do not have email addresses with the specified domain. Example: External meetings with clients or vendors. |
Only when I invite Fred@fireflies.ai | Fireflies will join the meeting only when you manually invite it by adding fred@fireflies.ai to the meeting invitation. |
Note: For the bot to join successfully, the meeting link must be present in the calendar connected to your Fireflies account.

- When it is time to join, Fireflies will ask for permission.
- Once admitted, Fireflies will join the meeting as a participant.
- It will send you the meeting notes to the desired channel you’ve connected with from the Fireflies Microsoft Teams integration.
