Getting Started with Fireflies CRM Deal Intelligence (HubSpot & Salesforce)

Want a clearer view of where your deals stand and what needs your attention next? Fireflies Deal Intelligence brings your CRM data and meeting conversations together, helping you track deal progress, monitor pipeline health, and identify risks early - all in one place.

Connect your CRM (HubSpot or Salesforce) to Fireflies. Once connected, Fireflies combines your CRM and meeting data to surface follow-ups, tasks, risks, and AI-powered insights throughout your sales pipeline.

๐Ÿ”‘ Prerequisites

Before getting started, make sure:

  • You must be a Fireflies Admin to access Deal Intelligence

  • A HubSpot or Salesforce account is available to connect with Fireflies.

  • Your meetings are linked to CRM records such as contacts, companies, or deals.

  • Once your CRM is connected, everyone in your Fireflies workspace can access Deal Intelligence by default.

  • No additional user groups or access configuration is required.

For now, Deal Intelligence in Fireflies is built specifically for HubSpot and Salesforce users. Support for other CRMs will roll out soon - so if your team uses a different platform, stay tuned!

๐Ÿš€ Connect a CRM for Deal Intelligence

Step 1: Log in to your Fireflies account. From the left sidebar, go to Analytics and click Sales.

Step 2: Click Connect HubSpot or Connect Salesforce, depending on the CRM your team uses.

Step 3: Sign in to your CRM account and authorize the connection.

Note: This guide uses Salesforce for demonstration purposes, but the setup process is similar for HubSpot.

Once your CRM is connected, everyone in your Fireflies workspace automatically has access to Deal Intelligence. No additional user groups or access setup is required.

๐Ÿ”Ž Using Deal Intelligence

Once your CRM is connected, Deal Intelligence helps you review deal activity, customer conversations, follow-ups, and sales insights - all in one workspace inside Fireflies.

Here's how to explore your connected deals and understand what's happening across your pipeline.

1. Deal Overview

Deal Overview is the main dashboard for monitoring your sales pipeline. It displays all your deals in one place, including their progress, health, AI Close Probability, and other key information.

You can view your deals in two ways: Table View for comparing detailed deal information or Kanban Board View for a visual overview of your pipeline.

Across both views, you can quickly view:

  • Deal name and owner

  • Deal stage

  • AI Close Probability

  • Budget

  • Last updated and close dates

  • Deal health (On Track, At Risk, or Slipping)

A. Table View

Use Table View to compare detailed information across all your deals in a single list, making it easier to identify opportunities that need attention.

B. Kanban Board View

Use Kanban Board View to organize deal cards by stage, providing a visual overview of your pipeline and making it easier to track deal progress.

2. Filter Deals for Sharper Insights

As your pipeline grows, filters make it easier to find the deals or opportunities you want to review. Use them to quickly narrow down results based on time, stage, deal status, budget, representative, or pipeline.

You can filter your deals in two simple ways ๐Ÿ‘‡

A. Filter by Duration

Use the View filter to display deals for a selected time period, such as All Time. This helps you track short-term changes and spot deals that need quick follow-ups.

B. Apply Multiple Filters Together

Need deeper insights? Click the + icon to access additional filters and narrow down your deals based on specific criteria.

Available filters include:

  • Stage โ€” e.g., Demo Completed, Closed Won, Negotiation/Contract Sent

  • State โ€” focus on deals that are On Track, At Risk, or Slipping

  • Budget range โ€” set a minimum and maximum value to find deals within a target range

  • Representative โ€” view deals handled by specific team members

  • Pipeline โ€” filter deals by CRM pipelines to analyze performance across different sales flows

  • Insights โ€” Filter deals with or without AI-generated insights.

Combine duration and filters to zoom in on the most valuable deals or opportunities, like high-value deals closing soon or reps driving the most momentum.

3. Open a Deal to View Details

Each deal includes a quick AI-generated summary, current deal status, and the latest update timestamp, giving you immediate context before reviewing deal activity.

The deal workspace is organized into dedicated sections for tasks, insights, and activity timeline, helping your team quickly track follow-ups, risks, and next steps.

Tasks Tab

Automatically captures sales follow-ups and action items from your meetings, then organizes them into Pending, In Progress, and Done sections, making it easy to track what still needs attention.

You can:

  • Expand a task to view more context pulled directly from the conversation.

  • Click a task once to move it to In Progress.

  • Click the same task again to mark it as Done.

  • Automatically move completed tasks into the Done section.

Insights Tab

Review important deal signals captured from customer conversations - including risk, stakeholder, competitor, compliance, interest, pain point, and other key discussion highlights.

Each insight includes the exact quote from the meeting conversation, helping you understand the context behind every insight.

Activity Timeline

View meetings and interactions in chronological order to track how the deal progressed over time. Quickly review past conversations, follow-ups, and customer engagement history from a single timeline.

4. Review Deal Information

Use the Info tab on the right-side panel to review detailed CRM information about the selected deal without leaving the workspace.

You can view details such as:

  • Deal owner, stage and pipeline

  • Amount, Deal ACV, and Deal ARR

  • Deal type and current status

  • AI Close Probability

  • Deal closed and won status

  • Company domain and CRM provider

  • Created, last updated, and last synced dates

5. Ask Fred Inside a Deal

When reviewing a deal, use the Ask Fred tab from the right-side panel to get quick answers without leaving the workspace.

Type your question, and Fred instantly pulls insights from your meetings and connected CRM data.

You can ask things like:

  • โ€œSummarize the last customer call.โ€

  • โ€œList action items so far.โ€

  • โ€œWhat are the highest priority task for this deal?โ€

Itโ€™s a quick way to turn deal conversations into clear, actionable insights.

6. Review Contacts Linked to the Deal

Every deal comes with people behind it โ€” and thatโ€™s where the Contacts tab helps.

  • From the left navigation bar, click More โ†’ Contacts to view everyone connected to your deals, along with their meeting history and related conversations.

  • You can click into any contact to view past conversations, track recent activity, or even schedule your next meeting right from the same view.

๐Ÿ” Manage Access to Deal Intelligence

By default, everyone in your Fireflies workspace can access Deal Intelligence after a CRM is connected. If needed, admins can use Manage Access to update who can view Deal Intelligence.

To manage access:

  1. Go to Analytics โ†’ Sales to open the Sales dashboard.

  2. Click Manage Access at the top-right corner.

  3. Enter the email address of the admin you want to allow to view Deal Intelligence insights, then click Add.

  4. The admin is listed under With access and has permission to view Deal Intelligence insights.

You can remove an adminโ€™s access at any time by clicking Remove next to the adminโ€™s name.

โŒ Disconnect a CRM

If you no longer want to sync CRM data with Deal Intelligence, you can disconnect your connected CRM at any time.

  1. Click the Access icon on the top-right corner of the Deals dashboard, then select Disconnect.

  1. A confirmation window will appear โ€” click Disconnect again to confirm.

Once disconnected, Fireflies stops syncing deals, meetings, and related insights from your CRM. You can reconnect your CRM at any time to resume syncing.

๐Ÿ›  Troubleshooting & FAQs

1. I don't see any deals in Deal Intelligence.

Make sure your HubSpot or Salesforce account is connected properly and your meetings are linked to CRM deals. Only deals associated with synced meetings appear in Deal Intelligence.

2. My deal information isn't updating.

Deal data refreshes automatically after your CRM connection is active. If updates appear delayed, reconnect your CRM from the Sales page and refresh the page.

3. Ask Fred isnโ€™t showing any results.

Ensure the meeting has been transcribed and linked to the deal. If there isn't enough meeting activity, Ask Fred may not have sufficient context to generate a response.

4. Why donโ€™t I see meeting insights for a deal?

Meeting insights are generated from synced meeting conversations. Ensure the meeting is available in Fireflies and associated with the selected deal.

5. Can I use Deal Intelligence with other CRMs?

Deal Intelligence currently supports HubSpot and Salesforce. Additional CRM integrations will be added in future releases.

6. Why donโ€™t I see the Tasks tab or updated Insights view?

The upgraded Deal Intelligence experience is currently rolling out gradually. Some features may only be available to selected workspaces during the early rollout phase.

7. Why don't I see AI insights or an AI Close Probability for a deal?

AI insights and AI Close Probability are generated from synced meeting conversations and CRM data. If a deal has limited meeting activity or hasn't finished syncing, these insights may not be available yet.
