Whether you're on the go or managing multiple conversations, this integration keeps your updates in your pocket so you can review and follow up instantly.

The WhatsApp integration is available only for Business and Enterprise customers.

Once connected, Fireflies delivers your meeting insights directly to WhatsApp — fast, clean, and ready to share.

Here’s what you can expect:

  • Instant delivery of AI summaries, action items, and meeting notes

  • Direct message to your WhatsApp number — no extra apps or steps

  • A link to the full transcript + recap for deeper review

  • Optional rules to control which meetings get sent (title, host, participants, type)

  • Reliable updates right where you already communicate with your team

🔑 Prerequisites

Before connecting WhatsApp with Fireflies, make sure you have:

  • A Fireflies account → You’ll set up the integration from your Fireflies workspace.

  • Your WhatsApp number → Ensure it’s active and can receive a 6-digit verification code.

When you enable this integration, WhatsApp needs your explicit permission to receive Fireflies meeting summaries.

Once these are ready, you can connect WhatsApp and Fireflies in just a few clicks.

🔗 Connect Fireflies to WhatsApp

Step 1: Log in to your Fireflies account, go to the Integrations page, and search for WhatsApp. Click on it to get started.

Step 2: A configuration page will open where you can add your configuration settings. Click the + Configuration button to continue.

Setting Up Your Configuration

Step 1: Add Your WhatsApp Phone Number

Select your country code and enter the WhatsApp phone number where you want to receive your meeting summaries.

Fireflies will send a verification code to this number via WhatsApp to confirm it's really you.

Make sure the number you enter is the same number linked to your WhatsApp account.

Step 2: Enter the Verification Code

Once you receive the 6-digit verification code on your WhatsApp, enter it into the field shown on screen.

This confirms that the number belongs to you and activates your WhatsApp connection.

After entering the code, click Continue to move to the next step.

If you don’t receive the code, wait a few seconds and check your WhatsApp chat again. Also, the verification code expires within 5 minutes, so make sure to enter it within the time.

Step 3: Provide Your Consent

WhatsApp requires explicit permission before Fireflies can send automated messages to your number.

By enabling this integration, you allow Fireflies to send meeting summaries to your WhatsApp number automatically after each meeting, based on your configuration.

Click Continue to confirm your consent and proceed.

WhatsApp requires this consent. Fireflies cannot send summaries to your number until you approve it.

Step 4: Send a Sample Note

Before finishing your setup, you can send a sample note to your WhatsApp to make sure everything is working correctly.

  • Click Send a sample note → Fireflies will instantly send a test message to your WhatsApp number.

  • Open WhatsApp to confirm you received the sample note successfully.

Once everything looks good, click Continue to move to the next step.

This test won’t affect any real meetings — it simply verifies that your WhatsApp delivery is working properly.

🧩 Additional Options – Integration Rules

By default, Fireflies sends every meeting summary to your WhatsApp. If you want more control, integration Rules let you decide which meetings should (or shouldn’t) be delivered to WhatsApp.

Integration Rules are available on Business or higher plans.

🗂 All Meetings

Send summaries from every meeting — client calls, internal syncs, interviews, standups, and more.

This is the default option and requires no filters.

📝 Meeting Title

Send WhatsApp summaries only when the meeting title matches specific rules (Contains, Starts With, Equals, Doesn’t Contain).

Example: Only send summaries for meetings titled “Client Review” or “Weekly Planning.”

Add multiple keywords using commas (e.g., Interview, Review, Demo).

👤 Meeting Host

Filter summaries by who hosted the meeting.

  • Equals → Only send summaries from meetings hosted by john@example.com.

  • Not Equal → Send summaries from all meetings except those hosted by John.

👥 Meeting Participants

Choose which meetings should send summaries based on who attended.

🎦 Meeting Type

Send summaries only from specific meeting categories.

Example: Equals External → Only send summaries for client-facing meetings.

🔀 Apply Multiple Filters

Combine rules for precise control over which summaries get delivered to WhatsApp.

  • Example: Title contains Interview AND host is john@example.com.

  • You can use AND (all conditions must match) or OR (any one condition matches).

You can see all the filters you’ve applied in your WhatsApp configuration. Fireflies will only send summaries to WhatsApp for meetings that match every rule you’ve set.

Example: Title contains Interview, host = John, participant = Mary, type = External.

💾 Save Your Configuration

Click Save to activate the integration — a flash message will confirm that your configuration has been successfully added.

👥 Team Options

If you don’t want every teammate setting up their own WhatsApp configurations—or if you need consistent summary delivery across the organization—Integration Scope gives workspace admins full control over how the WhatsApp integration is used.

  1. Click the vertical ellipsis (⋮) next to your WhatsApp integration and select Team Options.

  2. You’ll see two workspace-level controls:

  • Apply to entire workspace → Toggle this ON to use a single shared WhatsApp configuration for your whole team.

Meetings that are set to private in a teammate’s Privacy Settings won’t be pushed to WhatsApp unless you’re a Super Admin who can access meetings irrespective of team privacy settings.

  • Restrict non-admin usage → Toggle this ON to prevent teammates from creating their own WhatsApp configurations. This is useful for teams that require compliance, standard delivery rules, or consistency across departments.

  1. After adjusting these options to match your team’s workflow, click Save to apply the changes.

Use workspace-level control if you want one unified WhatsApp flow for everyone. Use personal configurations if teammates prefer receiving summaries on their own WhatsApp numbers independently.

🛠 Manage Configuration

As your workflow changes, you may want to update your WhatsApp integration — for example, renaming your configuration, changing delivery settings, or removing configurations you no longer need. Fireflies makes it easy to manage everything in one place.

  • Edit Configuration Name → Give each WhatsApp configuration a clear, descriptive name so it’s easy to recognize — especially if you're setting up multiple rule-based configurations. Click the configuration name (for example, Default Configuration), type the new name (like Client Meeting Summaries), and click outside the field to save.

Using clear names is helpful when you're managing several WhatsApp configurations for different teams or meeting types.

  • Edit Configuration Settings → Need to change how your meeting summaries are sent to WhatsApp? Click the vertical ellipsis (⋮) next to a configuration, select Edit, update your WhatsApp number, adjust your delivery rules (like meeting title, host, participants, or meeting type), and click Update to save your changes.

  • 🔘 Enable or Disable a Configuration → Use the toggle next to any WhatsApp configuration to turn it on or off instantly. Toggle ON to let Fireflies send meeting summaries to the WhatsApp number set in that configuration. Toggle OFF to pause delivery without deleting the configuration.

This is useful if you manage multiple WhatsApp configurations — you can keep one active and temporarily pause others whenever needed.

  • 🗑 Delete Configuration → If a configuration is no longer needed (for example, you switch numbers or no longer want summaries sent through that setup), you can safely delete it. Click the vertical ellipsis (⋮) next to the configuration, select Delete, and confirm.

Deleting a configuration means Fireflies will stop sending meeting summaries to that WhatsApp number. Make sure it’s no longer needed before removing it.

📤 How Messages Appear in WhatsApp

Once your WhatsApp integration is set up, Fireflies will automatically send a neatly formatted meeting summary to your WhatsApp number after each meeting (based on your rules and configuration).

Each WhatsApp message includes:

  • Meeting Overview — a quick snapshot of what the call was about

  • Detailed Notes — organized summaries and key discussion points

  • Action Items — tasks and follow-ups identified during the meeting

  • Link to Full Recap — jump directly to the Fireflies transcript and full summary

Messages are delivered in real time right after the meeting ends, so you can review, share, or act on key points instantly — without opening the Fireflies app.

Make sure your WhatsApp configuration is enabled, and the correct phone number is added. Also, confirm that the meeting matches your integration rules.

Verification code not arriving

Wait a few seconds and check your WhatsApp again. Ensure your number is active on WhatsApp. Try requesting the code again if it expires.

Summaries sent to the wrong number

Edit the configuration and update the phone number. Save your changes and resend a sample note.

Rules blocking messages

Review your Meeting Title, Host, Participant, or Type filters. The meeting may not match the criteria you set.

Unable to delete or update the configuration

Refresh the page and retry. If the issue persists, try removing and re-adding the WhatsApp integration.
