How to Integrate Trello with Fireflies

Meetings often end with action items, but moving them into Trello doesn’t have to be manual. The Trello + Fireflies integration automatically turns meeting notes into Trello tasks, helping you stay organized and take action without extra effort.

🔍 What does the Trello integration do?

The Trello integration acts as a shortcut between your meetings and your projects. Instead of manually copying action items, Fireflies automatically creates Trello cards from the tasks discussed in your calls.

Here’s what it helps you do:

  • AI-assisted tasks → Action items identified in meetings are automatically turned into Trello cards.

  • Personal task view → Choose to only send the tasks assigned to you, so your Trello board stays clean and focused.

In short, meetings don’t just end with notes — they end with a Trello board that’s already organized and ready to work from.

🔑 Prerequisites

Before connecting Fireflies with Trello, make sure everything is ready to ensure a smooth setup.

  • Fireflies account → You’ll need to be logged into your Fireflies workspace.

  • Trello account → Make sure you can access the Trello boards where you want tasks to land.

  • Board setup in Trello → Boards and lists should already exist in Trello. Fireflies can’t create them for you. (If you don’t see your board in the dropdown later, try refreshing.)

🔗 Connect Trello to Fireflies

Step 1: Log in to your Fireflies account, click on the Integrations tab, and search for Trello. Click on it to get started.

Step 2: Click on the Connect button, and you’ll be redirected to the Trello login page. Complete the sign-in process, and you will be redirected to the authorization page.

Step 3: Click on the Allow button to authorize Fireflies to read and write all files and folders in your Trello account.

Step 4: Once approved, you’ll be redirected back to Fireflies to configure your integration setup.

Setting Up Your Configuration

Step 1: Select Your Trello Board

This is the Trello board where Fireflies will send your meeting tasks.

  • Open the board dropdown menu and pick the right one.

  • Example: Android Team, Asp.Net, Laravel Team, Mern Stack Team, UET Support Team.

  • In this example, we’ll pick Android Team.

Boards need to be created first in Trello. If you don’t see your board in the Select Board dropdown, refresh the screen.

Step 2. Select a List

Inside that board, decide which list will hold the new tasks.

  • For instance, in the Android Team board, you might see lists like Jane or Alex.

  • Pick the one that makes sense for your workflow.

Step 3. Configure AI-Assisted Task

Next, decide how Fireflies should handle assignments:

  • Auto-Assign Tasks → Automatically assigns tasks to teammates who already have access to the board.

  • Only create tasks assigned to me → Adds only your tasks, keeping your list tidy.

Step 4. Create a Sample Card in Trello

Before relying on the integration in real meetings, test it out.

  • Click Create Sample Card in Trello.

  • Fireflies will instantly add a test card to your selected board and list.

This quick check makes sure everything is working as expected before your first live run.

🧩 Additional Options - Integration Rules

By default, Fireflies creates tasks from every meeting. That ensures full coverage but can also flood your board. Integration Rules let you filter which meetings generate tasks — so only the action items that matter make it into your tool.

Integration Rules are available on Business or higher plans.

📝 Meeting Title

Only create tasks if the meeting title matches rules you set (Contains, Starts with, Equals, Doesn’t Contain). Example: Only generate tasks for Client Review or Interview meetings.

Add multiple keywords separated by commas (e.g., Interview, Client Review, Demo).

👤 Meeting Host

Filter tasks by the meeting’s host.

Equals → Only tasks from meetings hosted by john@example.com.

Not Equal → Tasks from all meetings except those hosted by John.

👥 Meeting Participants

Filter tasks based on who attended.

Contains → Only meetings with sara@example.com.

Doesn’t Contain → Exclude meetings with alex@example.com.

Filter by meeting type. • Example: Equals External → Only external calls create tasks.

🔀 Apply Multiple Filters

Combine filters for precision.

• Example: Title contains Interview AND host is john@example.com.

• Rules use AND (all conditions must match) or OR (any condition matches).

You can view all the filters currently applied to the integration setup. In this example, the integration will only run for meetings that meet all of these criteria:

Example applied: Title contains = Interview, host = John, participant = Mary, type = External.

💾 Save Your Configuration

Click Save to activate the integration — a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations — for example, one for internal team boards and another for client project boards.

👥 Team Options

Sometimes you don’t want every teammate setting up their own Trello configurations — especially if you need to keep control over which boards are connected or limit access for compliance. That’s where Integration Scope comes in. It lets workspace admins decide whether the Trello integration is applied just to them or across the entire team.

  1. Click the vertical ellipsis (⋮) next to your Trello configuration and select Team Options.

  2. A modal window will appear with the following options:

  • Apply to entire workspace → Toggle this ON to apply the Trello integration across your Fireflies workspace. All the team meetings accessible by the team admin are turned into Trello tasks, keeping things consistent and centralized.

📌 Meetings that are set to private in a teammate’s Privacy Settings won’t be pushed to Trello unless you’re a Super Admin who can access meetings irrespective of team privacy settings.

  • Restrict non-admin usage → Toggle this ON to prevent non-admin members from creating their own Trello configurations. This is useful when you want tighter control over how tasks flow into boards.

  1. After adjusting the toggles to match your workflow, click Save to apply the changes.

Use workspace-level settings when handling sensitive meetings (e.g., HR interviews) to keep Trello access restricted. Choose personal configurations when teammates need the freedom to manage their own boards and tasks.

🛠 Manage Configuration

Over time, you may want to adjust how your Trello integration works — maybe to keep board names clear, tweak task settings, or remove setups you no longer use. Fireflies gives you a few simple options:

  • Edit Configuration Name → Give each Trello configuration a clear, descriptive name so it’s easy to recognize at a glance (especially helpful if you’ve connected multiple boards). Just click the configuration name (e.g., Default Configuration), type the new name (e.g., Android Team Board), and click outside the field to save.

Clear names are especially helpful when you’re managing more than one configuration.

  • Edit Configuration Settings → Need to change which board or list tasks go to? Or update assignment preferences? Click the vertical ellipsis (⋮) next to a configuration, select Edit, make your updates, and click Update to save.

  • 🗑 Delete Configuration → If a configuration is no longer useful (e.g., a project wraps up or your team moves to a different board), you can safely delete it. Just click the vertical ellipsis (⋮), select Delete, and confirm.

Deleting a configuration means Fireflies will no longer create tasks in Trello for that setup. Make sure it’s no longer needed before you remove it.

  • 🔘 Enable or Disable a Configuration → Use the toggle switch next to each configuration to quickly pause or resume it. Toggle ON to send tasks to the linked Trello board; toggle OFF to pause without deleting.

This is handy if you’ve connected multiple boards (e.g., Android Team and Support Tickets) and only want to capture tasks for one at a time. Fireflies remembers your settings when you turn configs back on.

Disconnect Integration

If you no longer need Fireflies connected to Trello — for example, when a project ends or your team moves to a different tool — you can disconnect it with a single click.

Click the Disconnect button to remove the Trello integration. This action immediately ends the connection, and Fireflies will no longer create tasks in Trello.

Once disconnected, Fireflies will stop sending tasks to Trello. You can always reconnect later if needed.

Tasks aren’t showing up in Trello

• Make sure the Trello configuration is toggled ON.

• Confirm the correct board and list are selected.

Integration disconnected unexpectedly

• Reconnect Trello from the Integrations page.

• If you’re an admin, review Team Options to confirm settings haven’t changed.

Tasks are unassigned

• Turn on Auto-Assign Tasks so Fireflies assigns cards to users who already have access to the board.

• If left off, tasks will remain unassigned until someone takes ownership.

Permissions errors

• Confirm the connected Trello account has access to the selected board and list.

• Ask a Trello board admin to update sharing permissions if needed.

Frequently Asked Questions

Q1. I don’t see my Trello board in the dropdown. What should I do?

Boards must be created in Trello first — Fireflies can’t create them for you. If your board already exists, refresh the page and check again.

Q2. Can I connect multiple Trello boards?

Yes. You can create multiple configurations, each linked to a different board or list. Use the toggle switch to enable or disable them as needed.

Q3. Will deleting a configuration remove my existing Trello cards?

No. Deleting a configuration only stops Fireflies from sending new tasks to that board. Any cards already created in Trello will remain.

Q4. What if my Trello integration shows as Inactive?

This usually means your Trello token has expired. Go to Integrations → Trello, click Reconnect, and log back into Trello to restore access.

Q5. What’s the difference between “Auto-Assign Tasks” and “Only my tasks”?

  • Auto-Assign Tasks → Fireflies automatically assigns tasks to people who already have access to the Trello board.

  • Only my tasks → Fireflies creates only the tasks assigned to you, keeping your board uncluttered.

Q6. What’s the difference between deleting a configuration and disconnecting the integration?

  • Delete a configuration → Removes only that specific setup (board, list, filters, task options) but keeps the Trello integration active. You can still create new configurations.

  • Disconnect the integration → Completely removes the link between Fireflies and Trello. No tasks will be created in Trello until you reconnect.
