How to Integrate Wrike with Fireflies

If your team uses Wrike to track tasks and manage projects, integrating it with Fireflies helps turn meeting action items into tasks automatically. This keeps your team aligned by ensuring follow-ups from meetings are captured and added directly to your Wrike workspace.

Hereโ€™s what you can expect:

  • Manually push tasks to Wrike from the Tasks Feed in Fireflies

  • Automatically assign tasks to meeting participants who have access to the project

  • Choose where tasks are created by selecting the appropriate Wrike space or project

  • Filter tasks by user so only tasks assigned to you are pushed to Wrike

Before connecting Wrike with Fireflies, make sure you have:

  • An active Fireflies account.

  • A Wrike account with access to your workspace.

  • Access to the Wrike space or project where tasks will be created.

  • Admin access in Fireflies (required for team-wide integrations).wrikw

Once these are ready, you can connect Wrike to Fireflies in just a few steps.

๐Ÿ”— Connect Wrike to Fireflies

Step 1: Log in to your Fireflies account, click on the Integrations tab, and search for Wrike. Click on it to get started.

Step 2: Click Connect, then sign in to your Wrike account and complete the authentication to authorize the integration.

Step 3: Review the requested permissions to create, view, and edit tasks in Wrike, then click Accept to authorize the integration.

Step 4: Once approved, youโ€™ll be redirected back to Fireflies to configure your integration setup.

โš™ Setting Up Your Configuration

Step 1: Select a Wrike Space

Choose the Wrike Space where Fireflies should create tasks from your meeting action items.

Use the search dropdown to find and select the appropriate space, then click Continue.

๐Ÿ“ŒNote: If you donโ€™t see the space you want to use, create a new Space in Wrike first. Once created, return here and select it from the list.

Step 2: Select a Project (Folder)

Next, choose the Project (Folder) inside the selected space where the tasks should be created or added.

Use the search dropdown to find and select the appropriate project, then click Continue.

๐Ÿ“Œ Note: If you donโ€™t see the project you want to use, create a new Project or Folder in Wrike, then return here and select it from the list.

Step 3: Configure Task Assignment

Choose how tasks should be assigned when they are created in Wrike.

  • Auto-assign tasks to participants โ†’ When enabled, Fireflies will automatically assign tasks to Wrike users based on the meeting participantโ€™s email.

  • Push only my tasks โ†’ When enabled, only action items assigned to you in Fireflies will be pushed to Wrike.

After selecting your preferred options, click Continue.

Step 4: Create a Sample Task

Before finishing the setup, you can create a sample task to confirm the integration is working correctly.

  • Click Create sample tasks. Fireflies will generate a test task in your selected Wrike project.

  • Open Wrike to confirm the sample task appears successfully.

Once verified, click Continue to complete the setup.

These tests donโ€™t affect your real meetings or spaces โ€” theyโ€™re just for confirming the setup.

๐Ÿงฉ Additional Options โ€“ Integration Rules

By default, Fireflies sends meeting action items to Wrike for every meeting. While this keeps tasks updated automatically, you may not want every meeting to create tasks. Integration Rules help control which meetings create tasks in Wrike, so only relevant meetings are included.

Integration Rules are available on Business or higher plans.

๐Ÿ—‚ All Meetings

Create tasks in Wrike from action items in every meeting โ€” client calls, team syncs, check-ins, and more โ€” with no filters applied.

๐Ÿ“ Meeting Title

Create tasks in Wrike only when the meeting title matches rules you set (Contains, Starts with, Equals, Doesnโ€™t Contain).

Example: Only generate tasks for meetings titled Client Review or Interview.

Add multiple keywords separated by commas (e.g., Interview, Client Review, Demo).

Filter tasks based on who hosted the meeting.

  • Equals โ†’ Only create tasks from meetings hosted by john@example.com.

  • Not Equal โ†’ Create tasks from all meetings except those hosted by john@example.com.

Filter tasks based on who attended the meeting.

Filter tasks by meeting type.

Example:
Equals โ†’ External โ†’ Only external meetings will create tasks in Wrike.

Rules can use AND (all conditions must match) or OR (any condition matches).

You can view all the filters applied to your configuration. In this example, tasks will be created in Wrike only for meetings that meet all of these criteria:

Click Save to activate the integration โ€” a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations โ€” for example, one for internal team boards and another for client project boards.

๐Ÿ‘ฅ Team Options

Sometimes, you may not want every teammate creating their own Wrike configurations โ€” especially if your team wants tasks from meetings to be created in a consistent Wrike space or project. Team Options allow workspace admins to control whether the integration applies only to them or across the entire workspace.

1. Click the vertical ellipsis (โ‹ฎ) next to your Wrike integration and select Team Options from the dropdown list.

2. A modal window will appear with these options:

  • Apply to entire workspace โ†’ Toggle this ON to apply the integration across your Fireflies workspace. Tasks from team meetings accessible by the admin will be created in Wrike, keeping task tracking centralized.

๐Ÿ“Œ Meetings set to private in a teammateโ€™s Privacy Settings wonโ€™t be included unless youโ€™re a Super Admin who can access meetings regardless of team privacy settings.

  • Restrict non-admin usage โ†’ Toggle this ON to prevent non-admin members from creating their own Wrike integration configurations.

3. After adjusting the toggles to fit your teamโ€™s workflow, click Save to apply the changes.

Use workspace-level settings when your team wants all meeting tasks to be tracked in the same Wrike workspace, and personal configurations when individuals prefer managing their own tasks.

Over time, you may need to update your Wrike integration โ€” for example, to rename a configuration, update meeting rules, or remove configurations you no longer use. Fireflies provides a few simple options to manage this.

  • โœ Edit Configuration Name โ†’ Give each Wrike configuration a clear, descriptive name so itโ€™s easy to recognize. Click the configuration name (for example, Default Configuration), type a new name (such as Wrike Meeting Tasks), and click outside the field to save.

  • โš™ Edit Configuration Settings โ†’ Need to update your meeting rules or task settings? Click the vertical ellipsis (โ‹ฎ) next to a configuration, select Edit, update the rules or configuration settings, and click Update to save your changes.

  • ๐Ÿ”˜ Enable or Disable a Configuration โ†’ Use the toggle next to a configuration to control it quickly. Toggle ON to allow Fireflies to create tasks in Wrike from meeting action items; toggle OFF to pause the integration without deleting the configuration.

This is helpful if you have multiple configurations and only want one active at a time.

  • ๐Ÿ—‘ Delete Configuration โ†’ If a configuration is no longer needed (for example, you no longer want tasks created in Wrike), you can delete it. Click the vertical ellipsis (โ‹ฎ) next to the configuration, select Delete, and confirm.

Deleting a configuration stops Fireflies from creating tasks in Wrike, so make sure itโ€™s no longer needed before removing it.

๐Ÿ“ค How Tasks Appear in Wrike

Once the integration is set up, Fireflies creates tasks in your selected Wrike space and project from meeting action items.

Each task includes the action item title, assignee (if enabled), meeting summary, and a link to the Fireflies transcript for full context.

This helps teams track follow-ups from meetings directly inside Wrike, making it easier to manage tasks and keep projects moving forward.

โŒ Disconnect Integration

If you no longer want Fireflies connected to Wrike, you can disconnect the integration at any time.

Click Disconnect to remove the Wrike integration. Fireflies will stop creating tasks in your Wrike space or project.

Once disconnected, Fireflies will stop sending data to Wrike. You can always reconnect later if needed.

Check if Auto-assign tasks to participants is enabled and verify that the participant email matches a Wrike user.

Sample task not created

Try clicking Create sample task again and confirm you have access to the selected Wrike project.

Integration disconnected

Go to Integrations โ†’ Wrike and reconnect the integration.
