How to Integrate Attio CRM with Fireflies

Fireflies integrates with Attio CRM to automatically send your meeting notes and action items to the right contacts, streamlining your sales and relationship workflows. It’s like having a dedicated assistant for your follow-ups! Let’s get you connected.

🔍 What Does the Integration Do?

Once the integration is active, Fireflies will seamlessly sync your meeting data—including notes, transcripts, and action items—to your Attio CRM. This keeps your contact records up-to-date without any manual effort.

🔑 Prerequisites

Before you start, you'll need two things:

🔗 Connect Attio CRM to Fireflies

Setting up this integration is quick! We'll guide you through the process step by step.

Step 1: Find the Integration

From your Fireflies dashboard, navigate to Integrations.

Step 2: Search for Attio

Type Attio in the search bar and select it.

Step 3: Initiate the Connection

Click the Connect button.

Step 4: Grant Permissions in Attio

Click Confirm to allow Fireflies to access and perform tasks in your Attio account.

After successful authorization, you'll be redirected back to Fireflies.

Set Up Default Configuration

Step 1: Participant Management

The Participant Management tab will open, giving you two options:

  • Create a New Participant as New Person in Attio: Enable this option to have Fireflies automatically create a Person in Attio for any meeting participant who doesn’t already exist.

  • Map Notes Only to Existing People: Enable this to sync meeting data only for existing contacts, ensuring that no new contacts are created automatically.

Once your Participant Management is set, click Continue.

Step 2: Map Notes to Companies

  • The Company Mapping option will open. Enable the toggle against Map Notes to Companies to map meeting data to both the meeting participant and their associated companies in Attio.

  • Click Continue.

Step 3: Enable Task Creation

  • In the Task Creation tab, enable the toggle against Create Tasks from Action Items. This allows Fireflies to automatically create tasks in Attio based on action items identified in your meetings.

  • Click Continue.

Step 4: Enable/Disable Only filter and create tasks assigned to me

This setting determines which tasks are created in Attio CRM:

  • When enabled, Fireflies filters and only creates Tasks specifically assigned to you during the meeting.

  • If disabled, Fireflies creates all meeting tasks identified in the discussion.

Step 5: Test the Connection

  • Test the integration by clicking Push Sample Meeting Data to Attio. Check the details right under the tab to ensure the meeting data is pushed successfully.

  • Once confirmed, click Continue.

🧩 Additional Options

By default, Fireflies sends data from every meeting to Attio CRM. While this ensures no meeting goes unnoticed, it can clutter your base. Integration Rules allow you to filter which meetings send data, so only the important meetings make it into your Attio CRM base.

🗂 All Meetings

Capture tasks from every meeting — client calls, team syncs, check-ins — with no filters applied.

📝 Meeting Title

Only create isses if the meeting title matches rules you set (Contains, Starts with, Equals, Doesn’t Contain). Example: Only generate tasks for Client Review or Interview meetings.

Add multiple keywords separated by commas (e.g., Interview, Client Review, Demo).

👤 Meeting Host

Filter issues by the meeting’s host.

  • Equals → Only issues from meetings hosted by john@example.com.

  • Not Equal → Issues from all meetings except those hosted by John.

👥 Meeting Participants

Filter issues based on who attended.

🎦 Meeting Type

Filter by meeting type.

Example: Equals External → Only external calls will be stored in your Attio CRM

base.

🔀 Apply Multiple Filters

Combine filters for precision.

  • Example: Title contains Interview AND host is john@example.com.

  • Rules use AND (all conditions must match) or OR (any condition matches).

💾 Save Your Configuration

After setting up the Default Configuration side panel, select Save.

You will see a pop-up confirming that the configuration was successfully added. You’re now all set!

👥 Configure Team Options (Admins Only)

These steps are only available to Fireflies Admins and allow you to manage the integration across your entire workspace.

Step 1: Locate the Options

Select the (:) ellipsis next to the Attio integration name. Then, click Team Options.

Step 2: Apply to Workspace

Turn the Apply to entire workspace toggle ON to push configurations to all workspace members automatically, or OFF to use manual configuration only. This applies the Attio integration settings across everyone in your Fireflies workspace.

Step 3: Restrict Member Usage

Turn the Restrict non-admin workspace member usage toggle ON to prevent non-admin team members from creating or modifying configurations for this team-wide integration. Turn it OFF if you want non-admins to also be able to manage these settings.

Step 4: Confirm Changes

Select the Save button.

📤 What Happens After the Meeting?

Once the integration is active, Fireflies will sync meeting data to Attio, including notes and action items. Here’s a quick overview of how it works:

  1. Fireflies identifies participants in each meeting and checks for matching contacts in Attio.

  2. For each meeting, Fireflies logs data — meeting title, transcript, shorthand bullet points, action items, keywords, and a summary — under the relevant Person in Attio.

  3. If a participant isn’t in Attio, Fireflies will automatically create the contact and map the meeting data if you have enabled the Create New Participant as New Person in Attio setting.

  4. If the option to Map Notes to Companies is enabled, Fireflies will search for the respective company based on the participants’ email domain and map meeting data to the relevant companies.

🛠 Manage Configuration

To make changes to your settings, such as participant or company mapping, simply go back to the Attio integration settings page to access the configuration tabs again.

Manually send meeting notes to Attio

Prefer sending only certain meetings to Attio? Fireflies also allows you to manually send meeting notes directly from the Notepad.

This is helpful when you want to review or edit notes first and then send only the relevant conversations to Attio contacts or records—without setting up automation rules or configuration.

Disconnect Integration

If you no longer need Fireflies connected to Attio CRM you can disable it instantly.

Click Disconnect on the integration page. We'll turn off your integration right away.

🛠 Troubleshooting

Here are a few quick checks if you notice issues with your Attio integration:

Data is Not Showing Up in Attio

  1. Check Connection Status: Go to your Integrations page and ensure the Attio integration is Connected (not Disabled or Disconnected).

  2. Review Fireflies Settings: Make sure the specific meeting you are looking for was recorded and processed by Fireflies.

  3. Verify Mapping: Check your Participant Management settings. If you selected Map Notes Only to Existing People, meeting notes for participants not already in Attio will not be synced.

  4. Confirm Permissions: Ensure that when you connected the app, you clicked Confirm in Attio to grant Fireflies the necessary read/write permissions. If you suspect an issue here, the best solution is to Disconnect and then Connect again.

Action Items Aren't Creating Tasks

  1. Task Creation Toggle: Revisit the Task Creation tab in the configuration settings and ensure the Create Tasks from Action Items toggle is enabled.

  2. "Only My Tasks" Setting: If you have enabled Only push my tasks in your main Tasks settings, only action items specifically assigned to you in the meeting will be pushed. Check if the missing tasks were assigned to you.

Q1. What specific meeting data does Fireflies push to Attio?

Fireflies pushes the meeting title, the full transcript, shorthand bullet points, a summary, keywords, and any identified action items (tasks).

Q2. Why aren't new people/contacts being created in Attio after a meeting?

This is likely controlled by your Participant Management settings. If you only want to sync notes for contacts already in Attio, you must enable Create New Participant as New Person in Attio during the setup process. If you want to change this, go back to the Attio integration page and review your configuration.

Q3. What happens to my old meeting data in Attio if I disconnect the integration?

If you Disconnect the integration, all meeting data already pushed to Attio will remain there. Disconnecting only stops Fireflies from syncing new meeting data going forward.
