How to Integrate Loxo with Fireflies

If you use Loxo to manage candidates and your recruiting process, this integration helps you automatically match Fireflies meeting participants to people in your Loxo ATS and log meeting notes on their activity timeline. This keeps interview feedback and recruiting conversations organized in one place.

๐Ÿ” What Does the Loxo Integration Do?

The Loxo integration helps you automatically match Fireflies meeting participants with people in your Loxo ATS and add meeting notes to their activity timeline. Here's what you can do with it:

  • Automatically create new people from meeting participants who aren't already in Loxo.

  • Add meeting notes to existing people in Loxo.

  • Keep your ATS up to date without manually adding meeting notes.

๐Ÿ”‘ Prerequisites

Before connecting Loxo with Fireflies, make sure you have the following ready:

  • Active Loxo account โ†’ You need access to your Loxo workspace.

  • Fireflies account โ†’ Make sure you're logged in to your Fireflies account.

  • Loxo API key โ†’ API Keys require admin access. Don't worry, we'll show you how to get the API key.

  • Loxo Agency Slug โ†’ You'll need your Agency Slug to connect your Loxo account to Fireflies.

  • Loxo Domain โ†’ This is optional. If you use a custom Loxo domain, you'll need to enter it during setup. Otherwise, Fireflies uses app.loxo.co.

Once these are ready, you're good to move on to the integration steps.

๐Ÿ”‘ Get the Loxo API Key

Step 1: Log in to your Loxo account.

Step 2: From the navigation panel, go to Settings โ†’ API Keys.

Step 3: Click + Add to generate a new API key.

Step 4: Copy the generated API key and save it securely. You'll need it when connecting Loxo to Fireflies.

๐Ÿ”Ž Find Your Loxo Agency Slug

You'll also need your Agency Slug when connecting Loxo to Fireflies.

Step 1: Open your Loxo account and check the URL in your browser.

Step 2: Find the text after https://app.loxo.co/.

For example, if your Loxo URL is:

https://app.loxo.co/my-agency

your Agency Slug is:

my-agency

Once you have your API Key and Agency Slug, you're ready to connect Loxo to Fireflies.

๐Ÿ”— Connect Loxo to Fireflies

Step 1: Log in to your Fireflies account. Navigate to the Integrations page, and search for Loxo. Click on it to get started.

Step 2: Click Connect.

Step 3: Enter the required details:

  • API Key โ†’ Paste the API key you generated earlier from your Loxo account.

  • Agency Slug โ†’ Enter your Loxo Agency Slug. For example, if your Loxo URL is https://app.loxo.co/my-agency, enter my-agency.

  • Loxo Domain (optional) โ†’ If your Loxo account uses a custom domain, enter it here. Otherwise, leave this field empty to use app.loxo.co.

Step 4: Click Authorize to complete the connection.

Once authorized, you'll be redirected back to Fireflies to configure your Loxo integration.

โš™ Setting Up Your Configuration

Step 1: Participant Management

Map Notes Only to Existing People

  • When enabled: Fireflies will only sync meeting data to people who already exist in your Loxo CRM. No new people will be created.

  • When disabled: If a meeting participant doesn't match an existing people in Loxo, Fireflies can create a new people in Loxo and add the meeting notes.

Click Continue to proceed.

Step 2: Test Connection (Create a Sample Meeting)

Before finishing the setup, you can test if everything is working correctly.

  • Click Create sample meeting โ†’ Fireflies will send a test meeting note to Loxo.

  • Open Loxo and check the peolple's Activity timeline to confirm the note appears.

Once verified, click Continue to proceed with the setup.

๐Ÿงฉ Additional Options โ€“ Integration Rules

By default, Fireflies sends meeting notes to Loxo for every meeting. If you only want certain meetings added to people in Loxo, Integration Rules let you control which meetings are sent.

Integration Rules are available on Business or higher plans.

Automatically send meeting notes from every meeting to Loxo without applying any filters.

๐Ÿ“ Meeting Title

Only send meeting notes when the meeting title matches the rules you define (Contains, Starts with, Equals, Doesn't Contain).

Example: Add only meetings titled Interview, Candidate Screening, or Hiring Manager Review.

Separate multiple keywords with commas (for example: Interview, Candidate Screening, Hiring Manager Review).

Choose which meetings are shared based on who hosted the meeting.

  • Equals โ†’ Only send meeting notes for meetings hosted by john@example.com.

  • Not Equal โ†’ Send meeting notes for all meetings except those hosted by john@example.com.

Choose which meetings are shared based on who attended.

๐ŸŽฅ Meeting Type

Filter meetings by type.

Example: Equals โ†’ External โ†’ Only external interviews are added to Loxo.

โฑ Meeting Duration

Filter notes based on how long the meeting lasted.

  • Longer than โ†’ Only send meeting notes for meetings longer than the duration you specify.

  • Shorter than โ†’ Only send meeting notes for meetings shorter than the duration you specify.

Example: Set Longer than โ†’ 30 minutes to send only meeting notes from meetings that lasted more than 30 minutes.

๐Ÿ”€ Apply Multiple Filters

Combine filters for more precise note saving.

Example: Title contains โ€œInterviewโ€ AND host is john@example.com.

Rules can use AND (all conditions must match) or OR (any condition matches).

You can view all the filters currently applied to your configuration. In this example, meeting notes will only be sent to Loxo ATS that match all of the selected conditions.

๐Ÿ’พ Save Your Configuration

Click Save to activate the integration - a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations - for example, one for internal meetings and another for client calls.

๐Ÿ‘ฅ Team Integration Settings

Workspace admins can control how the Loxo integration is used across their team. The available options depend on your plan and workspace role.

Click the vertical ellipsis (โ‹ฎ) next to your Loxo and select Team Permissions from the dropdown list.

Business and Enterprise

If you are a Workspace Admin on a Business or Enterprise plan, you can manage granular Integration Permissions for the integration, including who can access and connect it.

Free and Pro

Free and Pro users do not have access to the full Integration Permissions dashboard. Instead, Team Permissions opens a modal with the available workspace-level settings.

  • Apply to entire workspace โ†’ Toggle this ON to apply the Loxo integration across your Fireflies workspace. All team meetings accessible by the team admin will have notes sent to Loxo, keeping everything centralized.

    ๐Ÿ“ŒMeetings that are set to private in a teammateโ€™s Privacy Settings wonโ€™t be pushed to Loxo unless youโ€™re a Super Admin who can access meetings regardless of privacy settings.

  • Restrict non-admin usage โ†’ Toggle this ON to prevent non-admin members from creating their own Loxo configurations. This helps maintain consistent data practices and avoids accidental ATS clutter.

After adjusting the toggles to fit your teamโ€™s workflow, click Save to apply the changes.

Note: Business and Enterprise Workspace Admins have access to granular integration permissions, while Free and Pro workspaces have more limited workspace-level controls.

๐Ÿ›  Manage Configuration

Over time, you may need to update your Loxo integration - for example, to rename a configuration, update your integration rules, or remove a configuration you no longer use. Fireflies provides a few simple options to manage this.

  • โœ Edit Configuration Name โ†’ Give each Loxo configuration a clear, descriptive name so it's easy to recognize. Click the configuration name (for example, Default Configuration), type a new name (such as Candidate Interview Notes), and click outside the field to save.

  • โš™ Edit Configuration Settings โ†’ Need to update your Loxo settings or integration rules? Click the vertical ellipsis (โ‹ฎ) next to a configuration, select Edit, update the settings, and click Update to save your changes.

  • ๐Ÿ”˜ Enable or Disable a Configuration โ†’ Use the toggle next to a configuration to control it quickly. Toggle ON to send meeting notes to Loxo; toggle OFF to pause the integration without deleting it.

This is helpful if you have multiple configurations and only want one active at a time.

  • ๐Ÿ—‘ Delete Configuration โ†’ If a configuration is no longer needed (for example, you no longer want notes added to Loxo), you can delete it. Click the vertical ellipsis (โ‹ฎ) next to the configuration, select Delete, and confirm.

Deleting a configuration stops Fireflies from sending meeting notes to Loxo, so make sure itโ€™s no longer needed before removing it.

๐Ÿ“ค How Notes Appear in Loxo

Once the integration is set up, Fireflies automatically adds meeting notes to the matching people's record in Loxo.

  • In People, the matching people appears with a Note showing that Fireflies has added meeting information.

  • Open the people's record and select the Activity tab to view the meeting note.

  • The Activity section displays the meeting details, summary, and notes from the Fireflies meeting, along with a link to view the meeting in Fireflies.

This lets your recruiting team review the conversation directly from the people's Loxo record.

โช Push Past Meetings to Loxo

Sometimes, the meetings you want in Loxo happened before you connected the integration. Whether you enabled the integration later or want to add older meeting notes to Loxo, Push Past Meetings lets you choose a date range and meeting type, then send those meetings in just a few clicks.

Note: Make sure you've connected Loxo and created at least one push configuration before using Push Past Meetings. If you haven't, complete the Setting Up Your Configuration section above first.

Follow the steps below to push past meetings to Loxo.

  1. From the Loxo integration page, click Push past meetings.

  2. A dialog box will appear. Choose the following:

  • Date range โ†’ Select the meetings you want to send by choosing Last 7, 14, 30, 60, or 90 days, or specify a custom date range.

  • Meetings to push โ†’ Choose whether to push Meetings I attended, Meetings I organized or joined, or All my meetings.

  1. Click Push. Fireflies will send the matching meeting notes to Loxo using your existing configuration settings.

Meetings recorded after you connect Loxo are sent automatically. Push Past Meetings is only needed for meetings that happened before the integration was connected.

โŒ Disconnect Integration

If you no longer need Fireflies connected to Loxo - for example, when your hiring workflow changes or you no longer want notes added to candidates, you can disconnect it anytime with a single click.

Click Disconnect to remove the Loxo integration. Fireflies will stop adding meeting notes to candidate profiles in Loxo.

Once disconnected, Fireflies will stop adding meeting notes to Loxo candidate profiles. You can always reconnect later if needed.

Issue

What to Check / Do

Notes not appearing in Loxo

Make sure the Loxo integration is connected and the configuration is enabled. Also check that the meeting matches your Integration Rules, if configured.

people not found

Check if the meeting participant already exists as a people in Loxo. If Map Notes Only to Existing People is disabled, Fireflies can create a new people when no matching record is found.

API key not working

Verify that the API key is correct and that it was generated from Loxo โ†’ Settings โ†’ API Keys using an account with the required admin access.

Agency Slug is incorrect

Check your Loxo URL and make sure the Agency Slug matches the value after https://app.loxo.co/.

Sample meeting not created

Try creating the sample meeting again and check that your Loxo connection and configuration are enabled.

Integration disconnected

Go to Integrations โ†’ Loxo in Fireflies and reconnect the integration.
