How to integrate Microsoft To Do with Fireflies

Whether you're a solo contributor or managing a cross-functional team, Fireflies + Microsoft To Do helps you stay on top of follow-ups. With structured task syncing and powerful filters, your to-do list stays focused and relevant.
✅ What This Integration Lets You Do
Once set up, Fireflies will:
Detect action items from your meetings
Sync them into your chosen Microsoft To Do list
Include meeting title, time, and transcript link
Let you filter which meetings get synced using integration rules
Support multiple configurations per workspace
Allow admins to roll out the setup team-wide
🧭 Step 1: Connect Microsoft To Do
Go to Integrations in the left menu
Search for Microsoft To Do and Click Connect

Authorize access with your Microsoft login and click Accept.
You’ll be redirected back to Fireflies — to configure the integration

🔧 Step 2: Set Up Your First Configuration
This is where you decide where tasks should be pushed and how they should look:
Select your target List inside Microsoft To Do
(e.g., “Tasks”, “Team To-Dos”)Optional: 🔍 Want to Only Push Tasks Assigned to You? You can!
Just enable the toggle "only filter and create tasks assigned to me"
This way, you won’t get bombarded with others' action items.

Click Create Sample Task to test your connection

Hit Continue, then Save
Once you’re done with the above steps, you have another option if you're on Business or the enterprise plan. Read below
✨ Optional: Apply Integration Rules (Business & Enterprise Only)
Available to all Business & Enterprise plan users, integration rules let you control which meetings trigger a sync.
To access:
Under your config, click Additional Options
Set up rules using:
Meeting title (e.g., “Weekly Sync”)
Host (e.g., Alex@company.com)
Participants (comma-separated)
Meeting type (Internal or External)

Use AND/OR logic to combine filters

Once, you have added the integration rules, hit Save and name your config for easy tracking

👥 Team Integration Settings
Workspace admins can control how the Microsoft To Do integration is used across their team. The available options depend on your plan and workspace role.
Click the vertical ellipsis (⋮) next to your Microsoft To Do and select Team Permissions from the dropdown list.

Business and Enterprise
If you are a Workspace Admin on a Business or Enterprise plan, you can manage granular Integration Permissions for the integration, including who can access and connect it.

Free and Pro
Free and Pro users do not have access to the full Integration Permissions dashboard. Instead, Team Permissions opens a modal with the available workspace-level settings.
Apply to entire workspace → Toggle this ON to apply the Microsoft To Do integration across your Fireflies workspace. All team meetings accessible by the team admin will have notes sent to Microsoft To Do, keeping everything centralized.
📌Meetings that are set to private in a teammate’s Privacy Settings won’t be pushed to Microsoft To Do unless you’re a Super Admin who can access meetings regardless of privacy settings.
Restrict non-admin usage → Toggle this ON to prevent non-admin members from creating their own Microsoft To Do configurations. This helps maintain consistent data practices and avoids accidental CRM clutter.
After adjusting the toggles to fit your team’s workflow, click Save to apply the changes.

Note: Business and Enterprise Workspace Admins have access to granular integration permissions, while Free and Pro workspaces have more limited workspace-level controls.
What Do These Tasks Look Like in Microsoft To Do?
Each synced task includes:
✅ The action item text as the task title
📌 The meeting title (in brackets)
🔗 A link to the Fireflies transcript or Notepad

⏪ Push Past Meetings to Microsoft To Do
Sometimes, the meetings you want in Microsoft To Do happened before you connected the integration. Whether you enabled the integration later or want to add older meeting notes to Microsoft To Do, Push Past Meetings lets you choose a date range and meeting type, then send those meetings in just a few clicks.
Note: Make sure you've connected Microsoft To Do and created at least one push configuration before using Push Past Meetings. If you haven't, complete the Setting Up Your Configuration section above first.
Follow the steps below to push past meetings to Microsoft To Do.
From the Microsoft To Do integration page, click Push past meetings.

A dialog box will appear. Choose the following:
Date range → Select the meetings you want to send by choosing Last 7, 14, 30, 60, or 90 days, or specify a custom date range.

Meetings to push → Choose whether to push Meetings I attended, Meetings I organized or joined, or All my meetings.

Click Push. Fireflies will send the matching meeting notes to Microsoft To Do using your existing configuration settings.

Meetings recorded after you connect Microsoft To Do are sent automatically. Push Past Meetings is only needed for meetings that happened before the integration was connected.
✅ Send AI Skill Outputs to Microsoft To Do
Want to send more than just meeting notes to Microsoft To Do? Fireflies also allows you to send AI Skill outputs directly to your connected Microsoft To Do account.
This is helpful when you want custom AI-generated content, such as project updates, customer insights, follow-up emails, call analyses, or action item reports, automatically logged to Microsoft To Do for your team to review and act on.

🛑 Disconnect Integration
Click Disconnect to fully remove the setup

Note: Disconnecting will require you to follow the setup steps again if you choose to reconnect later.
