This guide gives an overview of the user deactivation feature in Fireflies.
What is the user deactivation feature?
The Deactivate feature allows you to disable teammates from logging into their Fireflies account. You can also choose whether to store their data or completely remove it from your system.
Note:
- Only admins can access the deactivation feature.
- You can deactivate teammates within the same business domain.
- Teammates outside your business domain can only be removed.
- Once you deactivate a teammate, you won’t be billed for that seat.
How to deactivate a Teammate?
- To deactivate a user, head over from the Fireflies dashboard and click on Team.
- Hover over the user you want to deactivate and click Deactivate.
- Here you will find two options: Deactivate and keep data and Deactivate and delete data.
Let’s explore each option, starting with the Deactivate and keep data.
1. Deactivate and keep data
- Select Deactivate and keep data.
Note: Selecting this option lets you deactivate a user and keep all meetings recorded from that user in your workspace.
- Here, you can see that the user is deactivated but remains a part of your workspace.
- When the teammate tries to log in to the workspace, they will be redirected to the Fireflies log in page. Here, they will get a pop-up that their account has been suspended. For any assistance, they can contact support@fireflies.ai.
- As an admin, you can activate this user again by clicking the Activate button next to the user.

2. Deactivate and delete data
- Hover over the teammate you want to deactivate and click Deactivate.
- Select the Deactivate and delete data.
Note: This option lets you deactivate the user and delete all meetings recorded by the user within 30 days.
- You’ll see that the user will be removed from your team workspace. You will also get a pop-up confirming that the teammate has been successfully removed and deactivated.
- When the deactivated teammate tries to log in to their Fireflies workspace, they will see an option saying Reactivate my account.
- When they click Reactivate my account, the teammate will be downgraded to the Free plan. They won’t be part of the previous team workspace.
