This guide covers the steps to invite Fireflies to Zoom meetings, including necessary Zoom settings and various methods for inviting Fireflies.
Zoom settings required
Before inviting Fireflies, configure the following Zoom settings:

Disable authentication requirement:
- Go to Zoom Settings > Meetings > Security.
- Disable Only authenticated users can join from Web client. This allows Fireflies to join as a guest.

Disable end-to-end encryption:
- In Zoom Settings > Meetings, disable Allow use of end-to-end encryption. This ensures Fireflies can record and transcribe meetings.

Disable waiting room:
- In Zoom Settings > Meetings > Security, disable Waiting Room to allow Fireflies to join without needing approval.

Enable computer audio:
- Ensure Join via Computer audio is enabled, as Fireflies cannot capture audio from telephone participants.

Allow participants to join before host:
- In Zoom Settings > Meetings > Security, enable Allow participants to join before host. This ensures Fireflies joins on time even if you are running late.
How to invite Fireflies to Zoom Meetings
You can invite Fireflies in three ways:

Manual invitation
- Add Fireflies (fred@fireflies.ai) as a participant in your calendar invite (Google/Outlook) and include the Zoom link.
- If the meeting has a password, include it in the calendar invite in the default Zoom formatting.

Automatic joining
- From the Fireflies dashboard, configure the Auto-join calendar events to All meetings with web-conf link.
Now, Fireflies will automatically join all the meetings on your calendar. If you want Fireflies to join only a few types of meetings, you can modify the Auto join calendar meetings settings.

Live meetings
Use this method, if you want to add Fireflies to an ongoing meeting.
- In Zoom, copy the meeting invite link.
- Go to the Fireflies dashboard, click Add to live meeting.
- Paste the meeting URL in the pop-up window, and click Start capturing.

How Fireflies joins meetings
When invited, Fireflies will join the meeting and appear in the participant list. If the waiting room is enabled, the host must approve Fireflies' entry.
Fireflies can stay in the meeting for up to four hours depending on your plan and provide a transcript and summary post-meeting.
