Topic Tracker not only helps you find key moments in your meetings—it can also automate tasks in your connected apps. When Fireflies detects your keywords during a call, it can automatically create tasks in tools like Asana, Monday.com, ClickUp, or Slack after the meeting is processed.
This is perfect for teams that want automatic follow-ups or reminders without manual effort. Simply set your Topic Tracker keywords and connect them to your integrations.
In this guide, you'll learn how to link your topics to integrations and how Fireflies creates tasks based on the keywords you track.
Before you start using Topic Tracker to trigger tasks in your integrations, make sure the following are set up:
You must be on a paid Fireflies plan, since Topic Tracker isn’t available on the free plan.
Your integration (Asana, Monday.com, ClickUp, Slack, etc.) must be connected and authorized in Fireflies.
You need to have your topics created in the Topic Tracker page, so Fireflies knows which keywords to track.
Fireflies must be joining your meetings, because tasks are created only after the meeting is processed.
Step 1: Choose Your Project Management Tool
Log in to your Fireflies account, click on the Integrations tab, and search for the project management tool you want to connect.
For demonstration purposes, we’ll use Asana. Select the integration to get started.

You can follow the same steps for any supported project management tool (Monday.com, ClickUp, Trello, etc.). The setup process is similar across all tools.
Step 2: Connect Your Tool to Fireflies
For demonstration purposes, we’re using the Asana integration as an example. Open the Asana integration and follow the prompts to connect it to your Fireflies workspace so tasks can be created automatically.

Step 3: Create Tasks Using Topic Tracker & Voice Commands
After connecting your tool (e.g., Asana), scroll to Create Task using Topic Tracker and turn it ON to allow Fireflies to auto-create tasks when your tracked keywords are mentioned in the meeting.
Select the Voice Commands and keywords you’ve created—such as “remind me,” “follow up,” or “create task”—to create tasks directly from what you say in meetings.

Step 4: Save Your Settings
Click Save to activate the integration — a flash message will confirm that your configuration has been successfully added.

Step 5: Fireflies Creates Tasks From Your Keywords
Start or join your meeting and make sure Fireflies joins so it can capture the audio and create a transcript.
After the meeting is processed, Fireflies will scan the transcript for your Topic Tracker keywords and Voice Command phrases, and automatically create tasks or action items in your connected tool (e.g., Asana).

Once the meeting is processed, you can view the tasks Fireflies created in your project management tool. In Asana, open the project and section you selected during setup.
All Fireflies-generated tasks will appear there with the meeting snippet, triggering keyword, and meeting title. You can edit, assign, or move them like any other task.

Tasks are not being created in Asana
Make sure the Asana integration is connected and the “Create Task using Topic Tracker” option is turned on.
My keywords are not triggering tasks
Check if the keywords are correctly added in Topic Tracker or Voice Commands.
No tasks appeared after the meeting
Fireflies must join the meeting and process the transcript. Tasks only generate after processing.
I don’t see the Topic Tracker option
Topic Tracker is available only on paid plans.
The wrong Asana project or section is receiving tasks
Open the Asana integration settings and confirm that the correct project and section are selected.
Topic Tracker keywords and Voice Commands can automatically create tasks in your connected tools.
You only need to connect your integration (like Asana) and enable the task creation settings.
Start or join your meeting and ensure Fireflies joins to capture the transcript.
After processing the meeting, Fireflies scans the transcript for your keywords.
Tasks are then created in the project and section you selected during integration setup.
