Once connected, Fireflies automatically sends your meeting notes and summaries to Microsoft Word documents stored in your OneDrive /Drive.

๐Ÿ”‘ Prerequisites

Before connecting Microsoft Word Online with Fireflies, make sure you have:

  • An active Fireflies account.

  • OneDrive folder access where Fireflies can create and update an Excel workbook.

  • Admin access in Fireflies (required for team-wide integrations).

๐Ÿ”— Connect Microsoft Word Online to Fireflies

Step 1: Log in to your Fireflies account, Navigate to the Integrations page, and search for Microsoft Word. Click on it to get started.

Step 2: Click Connect, and youโ€™ll be redirected to the Microsoft sign-in page. Sign in with the Microsoft account connected to your OneDrive.

Step 3: Click on the Accept button to authorize Fireflies to access your OneDrive and create and update an Excel workbook in your selected folder.

Step 4: Once approved, youโ€™ll be redirected back to Fireflies to configure your integration setup.

โš™ Setting Up Your Configuration

Step 1: Confirm the Destination Folder

Fireflies will automatically save meeting summaries as Word documents in the Fireflies Meetings โ†’ Summaries folder inside your OneDrive.

Click Continue to confirm the folder and proceed.

Make sure you have access to your OneDrive, as Fireflies will create and store the Word documents in this folder.

Step 2: Create a Sample Summary

Before you go live, make sure everything is working correctly.

  • Click Create a sample summary. Fireflies will generate a sample meeting summary and save it as a Word document in the Fireflies Meetings โ†’ Summaries folder in your OneDrive.

  • Open the document to confirm the sample note appears correctly.

Once verified, click Continue to finish the setup.

This test wonโ€™t affect your real meetings โ€” it just confirms that Fireflies can successfully send notes/summary to your Ms word onedrive folder.

๐Ÿงฉ Additional Options โ€“ Integration Rules

By default, Fireflies sends meeting notes to your Microsoft Word documents for every meeting. While this keeps everything updated, you may not always want every meeting included.

Integration Rules let you control which meetings are saved as Word documents, so only relevant meetings are added.

Integration Rules are available on Business or higher plans.

๐Ÿ“ Meeting Title

Send meeting notes to Microsoft Word only when the meeting title matches the rules you set (Contains, Starts with, Equals, Doesnโ€™t Contain).

Example: Save meetings titled Client Review or Interview.

Add multiple keywords separated by commas (e.g., Interview, Client Review, Demo).

You can view all the filters applied to your configuration. In this example, meeting notes are saved as Word documents only when all the selected conditions are met.

Click Save to activate the integration โ€” a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations โ€” for example, one for internal meetings and another for client calls.

๐Ÿ‘ฅ Team Options

Sometimes, you may not want every teammate creating their own Microsoft Word Online configurations โ€” especially if your team needs a consistent folder structure or shared meeting documentation. Team Options allow workspace admins to control whether the integration applies only to them or across the entire workspace.

1. Click the vertical ellipsis (โ‹ฎ) next to your Microsoft Word Online integration and select Team Options from the dropdown list.

2. A modal window will appear with these options:

  • Apply to entire workspace โ†’ Toggle this ON to apply the integration across your Fireflies workspace. All team meetings accessible by the team admin will have notes saved as Word documents, keeping everything centralized.

๐Ÿ“Œ Meetings set to private in a teammateโ€™s Privacy Settings wonโ€™t be added unless youโ€™re a Super Admin who can access meetings regardless of team privacy settings.

  • Restrict non-admin usage โ†’ Toggle this ON to prevent non-admin members from creating their own Microsoft Word Online integration configurations. This helps maintain consistent organization.

3. After adjusting the toggles to fit your teamโ€™s workflow, click Save to apply the changes.

Use workspace-level settings for shared or company-wide meeting logs, and personal configurations when individuals prefer to manage their own Word documents.

Over time, you may need to update your Microsoft Word Online integration โ€” whether itโ€™s to rename a configuration, change where meeting notes are saved, or remove configurations you no longer use. Fireflies makes this easy with a few quick options:

  • โœ Edit Configuration Name โ†’ Give each Microsoft Word Online configuration a clear, descriptive name so itโ€™s easy to recognize. Click the configuration name (for example, Default Configuration), type a new name (such as Word Meeting Notes), and click outside the field to save.

  • โš™ Edit Configuration Settings โ†’ Need to update your meeting rules or configuration settings? Click the vertical ellipsis (โ‹ฎ) next to a configuration, select Edit, update the meeting rules or filters, and click Update to save your changes.

  • ๐Ÿ”˜ Enable or Disable a Configuration โ†’ Use the toggle next to a configuration to control it quickly. Toggle ON to send meeting notes to Microsoft Word documents; toggle OFF to pause the integration without deleting it.

This is helpful if youโ€™ve connected multiple OneNote configurations (e.g., Team Notes and Client Projects) and only want one active at a time. Fireflies remembers your settings when you turn configurations back on.

  • ๐Ÿ—‘ Delete Configuration โ†’ If a configuration is no longer needed (for example, your team no longer wants meeting notes saved as Word documents), you can delete it. Click the vertical ellipsis (โ‹ฎ) next to the configuration, select Delete, and confirm.

Deleting a configuration stops Fireflies from sending meeting notes to the associated Word documents, so make sure itโ€™s no longer needed before removing it.

๐Ÿ“ค How Meeting Notes Appear in Microsoft Word

Once connected, Fireflies saves your meetings as Word documents in the selected OneDrive folder. Each document contains the meeting title, date, participants, notes, summaries, action items, and transcript.

This makes it easy for teams to review, edit, and share meeting notes directly in Microsoft Word Online while keeping all meeting documentation organized in one place.

โŒ Disconnect Integration

If you no longer need Fireflies connected to Microsoft Word Online, you can disconnect the integration at any time.

Click Disconnect to remove the Microsoft Word Online integration. This will immediately end the connection, and Fireflies will stop sending meeting notes as Word documents to your OneDrive.

Once disconnected, Fireflies will no longer create or update Word documents. You can reconnect the integration anytime if needed.
