How to share a Fireflies meeting with a password-protected Link

Want to share a meeting with someone outside your team without making it public or asking them to sign up for Fireflies? Password-protected share links make that possible.

🔒 How It Works

Here's what happens behind the scenes:

• You create a password-protected link for a specific meeting.

• Fireflies generates a separate secure link, completely independent from your regular share link.

• Anyone with the link and the password can view the full meeting: notes, transcript, summary, and recording. Audio or video recording depends on the meeting host's plan.

• Your meeting privacy will not be impacted and will stay true to your privacy settings for the meeting

🛠 How to Create a Password-Protected Link

Step 1: Open the Meeting

From your Fireflies dashboard, go to the Meetings Tab and select the meeting you want to share.

Step 2: Click on the Share button

In the pop-up that appears, select the Password tab.

Step 3: Create a Password

Click Create Password. A form will appear to help you set up your protected link.

Step 3: Set your Password

Enter your password and set your link expiry (optional). Click Create Password and generate link

Under Access Expiry, choose how long the link should stay active:

• No Expiry

• 24 hours

• 7 days

• 14 days

• 30 days

Step 4: Create the Link and Share It

Click Copy Protected Link and send it to your recipient along with the password. They will need both to view the meeting

Note: This creates a separate link from your regular meeting share link. Your existing share settings and meeting privacy are not affected.

👀 What Recipients See

When someone opens the protected link, they'll land on a password prompt before they can view anything. Once they enter the correct password, they'll have access to the full meeting: notes, transcript, summary, and recording. No sign-up or Fireflies account required, just the password you shared with them.

Note: Whether the recording is audio or video depends on the meeting host's Fireflies plan.

🔑 Who Can Create a Password-Protected Link?

Only the meeting host or a workspace admin can create, reset, or delete a password-protected link for a meeting.

❌ Need to Revoke Access?

Click Reset Link & Password at any time. The existing link stops working immediately. You can always set up a new one if needed.

🔄 Forgot the Password?

No worries! Just click Reset Link & Password to invalidate the current link and start fresh with a new password. Remember to send the updated link and password to your recipient again!

Q1. Does my recipient need a Fireflies account?

Yes! When setting up the link, choose an expiry window under Access Expiry: 24 hours, 7 days, 14 days, or 30 days. Prefer it to stay open indefinitely? Select No Expiry.

Q4. What if I forget the password?

Passwords can't be recovered. Click Reset Link & Password to create a new link with a new password, then reshare both with your recipient.
